Summary of Responsibilities
The commercial manager is responsible for operations of the commercial space(s) for the portfolio of mixed-use properties. This includes ensuring efficient operations, timely collection of rent and CAM payments, commercial lease administration, annual CAM calculation and reconciliation, and monthly reporting. The retail district manager also creates a positive experience for the retail tenants and treats them as a valuable member of the property.
Primary Responsibilities and Objectives
Manages the day-to-day operational activities of the retail spaces in a regionally central area including tenant satisfaction and inclusion
Responsible for facilitating the full tenant lifecycle process (e.g., lease administration, rent collection and delinquency management)
Manage the income and expense records in accordance with planned budget
Responsible for meeting client expectations and providing an excellent customer service experience
Responsible for executing strategic marketing plans to incorporate retail tenants into the property and promote their business to ensure their success
Audit records and files to identify dates requiring administrative action, such as lease expiration dates and delinquent accounts
Responsible for shopping competitive properties
Compose and prepare routine correspondence, rental notices, and other letters and memorandums
Ensure adherence to the operations guidelines established within the property management agreement
Respond to tenant complaints and issues and serve as liaison to tenants and corporate office and ownership regarding the administration of common area maintenance and the enforcement of landlord rules and regulations
Responsible for evaluating operating expenses and calculating NNN expenses based on property budgets and reconciling CAMs at the end of each fiscal year
Partner with the regional manager and commercial portfolio manager on drafting budgets and P&L statements for the retail portion of each property
Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing personal networks
Comply with all company policies, applicable health and safety rules and regulations, as well as applicable local, state, and federal laws
Perform other duties as assigned
Education and Experience
High school diploma is required. Bachelor’s degree is preferred.
Two to three years of experience in commercial property management is required
Knowledge of commercial lease lifecycle activities is required
Knowledge of Salesforce is preferred
Prior experience in Yardi Voyager or another equivalent system is preferred
Skills and Requirements
Very strong organizational and time-management skills
Strong interpersonal skills to communicate with all levels of management effectively and sensitively
Intermediate level knowledge with Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel
Sensitivity to confidential matters is required
Ability to work independently and prioritize effectively in a fast-paced environment with a strong sense of urgency.
Ability to relay technical concerns with adequate detail, quickly and accurately
Capability to read, write, comprehend, and converse in English
Excellent customer service and interpersonal skills with the ability to relate to others
Must maintain a valid driver’s license, clean driving record and current auto insurance is required
Must comply with all safety requirements
Required to complete and successfully pass the Avenue5 Fair Housing and Preventing Discrimination and Harassment training and other courses if assigned
Scheduling
Required to maintain a regular schedule which may require working overtime, weekends, and non-traditional holidays
Ability to travel (20%)
Environment
Exposure to environment typically found in an office building
Exposure to hot, cold, wet, humid, or windy conditions (temperatures may vary depending on the weather in the different regions)
Exposure to noise, vibrations, atmospheric conditions, as well as working in confined or restricted spaces
Potential exposure to communicable diseases through frequent contact with public
Possible exposure to short-tempered or aggressive people
Potential exposure to chemicals, electrical shock, heights, mechanical parts or machines, and fire
Physical Requirements
Avenue5 will make reasonable accommodations to enable individuals with disabilities to perform the essential functions. These functions include, but are not limited to:
Ability to lift, push, and pull up to 25 pounds
Ability to move around the property several times daily - up to 10 miles a day
Ability to move on uneven surfaces
Ability to move up and down several flights of stairs several times daily
Must be able to observe and detect signs of emergency through visual and/or auditory cues
Must be able to remain stationary, move around, reach, and position oneself as needed for extended periods of time
Ability to use standard maintenance equipment
Ability to perceive the nature of sounds at normal speaking levels, including the ability to receive detailed information through oral communication, and to make the discriminations in sound
Visual requirements including color, depth perception, and field vision
Ability to compare, copy, coordinate, synthesize, negotiate, communicate, and instruct
Ability to tolerate stressful situations
Ability to work under minimal to moderate supervision
