Position Summary:

The Commercial Booking Manager will provide general event management support for the VP of Commercial Entertainment, including full management of the contract process, complete management of the settlement process, formulation of booking strategies, tracking of regional competitive show announcements and ticket sales, artist logistics, financial reporting for events, implementing a full backstage experience plan for targeted shows at all of our venues, managing the backstage experience annual budget, and communicating with artists, promoters, and artist management, and a broad range of staff. Through communication with production, ticketing, marketing, facilities, finance, food & beverage, front of house and operations, this position will manage event implementation, ensure artists are well provided for and communicated to, and all event-related staff functions are well supported.

Position Duties and Responsibilities:

Manages entire Backstage Experience initiative, including the selection of featured shows, third party partnerships, research of artist preferences, communication with tour manager about artist / tour needs / wants, execution of baseline Backstage Experience components, communication and oversight of implementation with food & beverage, facilities, and other O-pa departments, and management of annual budget.

Conducts regular inspections of backstage areas, dressing rooms, and hospitality spaces to ensure cleanliness, safety and functionality. Coordinate with facility staff to address any repairs, maintenance issues, or equipment malfunctions promptly.

Creates an artist welcome / artist departure checklist to ensure a consistent high-quality, welcoming experience for every artist visiting one of our venues.

Maintains Sharepoint event sites for assigned commercial events.

Completes settlements for assigned shows. This includes direct and timely communication with artist and promoter to ensure venue expenses are accurate, and final payments are made to the appropriate institutions.

Tracks show budgets to ensure expenses are in line with forecasted projections.

Advances all artist/show logistics for assigned commercial events. Includes, but not limited to, working with O-pa staff, artists, and agents to collect information and create artist itineraries, communicating information to all O-pa departments, entering details in the Momentus scheduling program, ensuring adherence to O-pa policies regarding event management, entering performance schedule, event details and diagrams, and preparing expense backup for settlement.

Coordinates commercial payment and venue licensing process tracking, and processes check requests for deposits and artist payments in accordance with the contract deadlines.

Acts as lead on all artist communication and logistics amongst O-pa staff, promoters, agents and managers.

Works with the Vice President of Commercial Entertainment to ensure contract terms are accurate. Coordinates the distribution and execution of all venue license agreements, and manages the collection of applicable documents such as certificates of insurance and tax forms.

Assists coordination of other department events as assigned.

O-pa representative to client or artist on assigned shows.

Attends Operations Meetings.

May perform other duties as assigned.

Experience and Qualifications:

Three (3) years contract experience and familiarity with the commercial live entertainment industry.

Must possess outstanding written and telephone communication skills.

Requires resourcefulness, professionalism, high degree of motivation and ability to work well under pressure.

Requires high-energy individual with extremely focused attention to details.

Must have the ability to handle multiple projects simultaneously and demonstrate good judgment and mature decision-making ability.

Must be a proactive self-starter with strong interpersonal skills.

Must be able to read, understand and complete production settlements.

Microsoft Office Products (Word, Excel, Outlook, Access and PowerPoint).

Experience in artist coordination, backstage/technical theatrical production, front-of-house procedures, and event production preferred.

Experience with Momentus preferred.

Must be able to work multiple nights and weekends.

Minimum Education Requirements:

Knowledge of specialized principles or techniques equivalent to that which would normally be obtained through a formal four-year college/university academic program or an in-depth specialized training program directly related to the type of work being performed.

Specialized Knowledge, Licenses, Certifications:

Working knowledge of contract management solutions preferred.
