In conjunction with the Shareholder Specialist position, the Shareholder Relations Coordinator serves as the receptionist for the Shareholder Relations Department. This position 1) coordinates communication among Shareholders and Descendants, the Shareholder Relations Department, and various agencies, 2) provides assistance in person and by phone and 3) processes a high volume of Shareholder information changes in a computerized records database. This position requires the ability to handle confidential information appropriately.Major Activities (Typical Duties/Responsibilities)In conjunction with the Shareholder Specialist position, responsible for performing front desk duties including, but not limited to:

Greet visitors, Shareholders, and business associates in a timely, friendly, and professional manner.Answer the Shareholder Relations incoming calls.Monitor department voice mail, emails, faxes, and RSVPs.Assist Shareholders and Descendants regarding their records and other matters, such as enrollment, CDIBs, department procedures, concerns, non-profit services, and any other needs.Sort and process incoming/outgoing departmental mail and distributing as appropriate.Process returned mail, maintain associated files, and resend as appropriate. Periodically audit returned mail for accuracy in database.Contact Shareholders and Descendants who have submitted forms that have missing information.

Assist with locating Shareholders with bad addresses and updating contact information. Regularly prepare report of missing Shareholders.Assist with Shareholder payment confirmations and Descendant registration.Update computerized Shareholder records and notifying appropriate staff of any changes that affect payments.Maintain Shareholder Relations reception area, including nonprofit brochures and other literature.Assist with preparations for CIRI Shareholder-related events; participating in and representing the department at such events, as appropriate.Perform other duties as appropriate and as assigned.Knowledge/Skills/AbilitiesExcellent organizational skills: ability to prioritize work and problem solve while exercising good judgment.Excellent oral and written communication skills, including telephone etiquette, thorough knowledge of proper grammar, advanced vocabulary, spelling, editing, and proofreading skills.Excellent interpersonal skills: ability to work effectively and cooperatively with all levels of management and staff, including the ability to be empathetic with respect to Shareholders needs.Working knowledge of ANCSA and ANCSA Amendments as it relates to the subject areas typically raised by Shareholders (e.g., original ANCSA enrollment, Descendant enrollment, stock restrictions and protections and exemptions relative to eligibility determinations for federal or federally assisted programs).Proficiency in computers including industry-standard computer software and Microsoft Office suites with accurate data entry skills.Understand CIRIs mission, vision and strategic focus areas and incorporate knowledge into daily activities.Work independently as well as on a team and with minimal supervision.Familiarity with operation of standard office equipment.High degree of sensitivity regarding confidential information.Minimum QualificationsHigh School Diploma or equivalent GED.Two years of receptionist or general office administration experience.Customer service experience strongly preferred.Ability to obtain State of Alaska notary certification.
