Job Description:The Center for Youth & Community Leadership in Education (CYCLE) is hiring! We are excited to announce that CYCLE is hiring for a new

Administrative Manager

who will join our team to provide crucial support to project teams by designing and managing efficient systems for program administration, event and meeting planning, and communications. This is a great opportunity for someone looking to join a dynamic team and growing organizational effort.

The Administrative Manager plays an integral role in ensuring the administrative health and functioning of CYCLE so that programs run smoothly, CYCLE leadership and program staff are supported, and CYCLE partners are well-informed and engaged.

POSITION SUMMARYReporting to the Executive Director, CYCLE, the Administrative Manager for CYCLE is responsible for designing and managing efficient systems for CYCLE leadership and program staff to better execute their job duties, more smoothly run and facilitate programming, and communicate effectively with the field about program activities and impact.

The position responsibilities fall approximately into the following categories:

Program Administration (50%)Event & Meeting Logistics (30-40%)Communications (10-15%)

Program Administration

Design and manage processes and protocols to establish contracts and work agreements with consultants, partners, and vendors, and ensure payments are made according to schedule.

Research vendors to fulfill project and program needs and manage vendor relationships which includes, but is not limited to, RWU vendor set-up, and communications regarding contracts, payments, and services.

Work closely with CYCLE leadership and project staff to track spending.

Maintain working knowledge of project and program budgets.

Manage and coordinate CYCLE material, supplies, and service purchases.

Manage and maintain CYCLE program service subscriptions and accounts.

Train and support CYCLE program staff on proper use of relevant services and accounts.

Manage CYCLE office operations, including receiving and redirecting calls and email inquiries, maintaining and organizing CYCLE program supplies and storage space, and supporting maintenance of the CYCLE Staff Calendar.

Document, organize, and maintain CYCLE-wide notes, materials, and records, including those for staff meetings.

Event and Meeting Planning

Serve as the primary point of contact for arrangements with outside venues for CYCLE-hosted meetings and events.

Manage RWU room and space reservations for internal program needs.

Arrange travel and accommodations for guests and participants, including reimbursement processes and payments.

Work closely with program staff to identify and fulfill materials and supply needs, including coordination of necessary printing or copying of paper materials.

Identify and draft forms necessary for CYCLE program participants, manage collection of forms, and maintain records.

Identify catering needs at CYCLE-hosted meetings and events and make appropriate arrangements.

Manage set-up, real-time logistics, and break-down processes at in-person events, both on and off campus, including occasional overnight travel.

Manage and coordinate technical support during virtual meetings and events to support participant technical needs, manage break-out room set-up, recording, and other related tasks.

Communications

Oversee CYCLE website design, content development, updates, and maintenance.

Develop project and program-specific communication goals.

Manage external outreach and promotion of CYCLE programs, including development of promotional outreach materials including, but not limited to, flyers, and social media posts.

Manage CYCLE's monthly newsletter by generating content, designing, finalizing, and distributing.

Update and maintain social media presence on a variety of online platforms.

Support development of content for CYCLE blogposts from staff and/or partners.

Maintain CYCLE's email contact database, by tracking growth, and developing strategic contact database segments to target specific communications.

Additional Functions

Supervise, assign, and review work of office administrative staff, student employees, and interns.

Participate in team meetings and facilitate and lead portions of meetings when assigned.

HEALTH, WELLNESS, AND SCHEDULEThe physical and mental well-being of our employees is of the utmost importance. Job functions will be conducted in accordance with CDC/RIDOH/RWU COVID safety protocols, and a generous benefits package provides ample paid time off for vacation and employee illness. This position is available with a hybrid work-from-home and work-in-office schedule (pending approval by the Supervisor, Executive Director, and RWU Human Resources) with at least three days per week working in the office. This position is full-time, 40 hours per week, with occasional evenings and weekends.

This is a grant-funded position that is contingent upon the existence and availability of external funding.

Bachelor's degree in a related field.

Minimum of five years experience with non-profit or higher education program administration, operations, event planning, and/or communications.

Excellent communication skills, both written and verbal.

Well-organized and detail-oriented with the ability to manage multiple projects and responsibilities simultaneously.

Ability to prioritize work tasks in order to meet deadlines.

Experience working collaboratively across complex projects with multiple team members.

Experience and cultural competence working with racially and socioeconomically diverse communities.

Experience working with communities from an asset-based orientation and a demonstrated commitment to equity and social justice.

Commitment to partnering with youth, families, educators, and other stakeholders to build collective power, and fight for educational justice.

Some overnight and weekend travel required.

Preferred Qualifications

Experience working with youth and community-based non-profits, K-12 public education and related stakeholders.

Knowledge of education reform history and current education policy, particularly as they relate to equity-focused reform and the role of parents, youth and community members in school reform.

Salaries for new hires at Roger Williams University usually fall between the minimum and midpoint of the salary range.$54,267 - $61,200
