Job Description:

Manage and oversee all administrative procedures and processes. Provide direct support to management; schedule appointments and maintain calendars; manage travel arrangements. Compose a variety of correspondence and materials; prepare reports and presentation materials; proofreading and additional administrative duties. Screen phone calls and visitors.

Responsibilities:

Position specific responsibilities will include, but are not limited to:

Provide Administrative and Clerical Support: 65%Organize schedules using sound judgement and prioritization skills.Prepare meeting agendas, memos, and correspondence; complete a variety of non-routine assignments.Coordinate busy and shifting office calendar, including scheduling, and coordinating meetings and/or conferences.Coordinate the day-to-day activities ensuring documentation is prepared and available in advance of meetings and engagements.Attend meetings for purpose of recording, preparing, and distributing minutes and reports.Process a considerable amount of confidential and sensitive information in support of administrative activities.Support additional staff as assigned.

Manage Internal and External Communications: 15%Act as primary point of contact for internal and external constituencies on matters pertaining to the executive.Independently use discretion in determining matters that may be handled by the Executive Assistant and those that must be handled by the senior staff.Ensure timely and comprehensive communication between involved parties.

Contribute to Projects and Special Events: 20%Take on a variety of special projects, some of which may have institutional impact.Research and compile data and prepare reports and summaries.

Required Skills and Competencies:Ability to plan, organize, and prioritize work to meet schedules and timelines.Ability to research, analyze, and summarize information and reports.High-level of proficiency in scheduling appointments, calendars, and project management.Intermediate use of Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Suite (Mail, Calendar, Docs, Sheets, Drive), Social Media Platforms (Twitter, LinkedIn).Workday experience or familiarity.Excellent time management, organizational and customer service skills.Excellent written, interpersonal, and oral communication skills.

Education and Experience:Associate degree with a minimum of 2-3 years of administrative experience, or high school diploma with 3-5 years' equivalent combination of education and work experience in a university setting, or similar professional environment.

Job Type: Contract, Temporary

Pay Rate: $22.00 - $25.00/hourly

Duration: 3 - 6 months

Location: Onsite (potential Hybrid)
