The Administrative Assistant will provide comprehensive support to ensure efficient operations within the office. This role involves a variety of administrative and clerical duties, including managing schedules, handling correspondence, organizing documents, and assisting team members. The ideal candidate is well-organized, resourceful, and capable of handling sensitive information with discretion.Key Responsibilities:General Office Support:Answer phone calls, direct inquiries, and provide accurate information to clients or internal teams.Greet visitors and direct them to the appropriate personnel or department.Manage incoming and outgoing mail and emails.

Scheduling and Coordination:Manage calendars, appointments, and meetings for executives or department heads.Assist in coordinating travel arrangements, including booking flights, accommodations, and transportation.Organize company events, team meetings, or client gatherings, as needed.

Documentation and Reporting:Prepare reports, presentations, and correspondence as directed.Maintain organized filing systems (both electronic and paper).Handle data entry tasks, ensuring accuracy and completeness.

Financial and Recordkeeping:Assist with invoice processing, expense reports, and purchase order tracking.Maintain budget and expense tracking reports.Process and file necessary HR documents, like timesheets and leave requests.

Office Management:Monitor and order office supplies, ensuring inventory is stocked.Maintain office equipment and coordinate with vendors for repairs and services when needed.Ensure the office environment is clean, organized, and functioning efficiently.

Skills and Qualifications:Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.Strong organizational and multitasking skills with attention to detail.Excellent written and verbal communication skills.Ability to prioritize tasks and work independently or as part of a team.Discretion in handling confidential and sensitive information.
