Minneapolis Institute of Art (Mia)Tour and Volunteers CoordinatorFull-time (37.5 hours weekly), non-exempt, unionHourly rate: $30.05 – $30.72Onsite; not eligible for relocationThe JobSchedules and coordinates private and public guided tours, assigns guides to tours, collaborates closely with the Visitor Experience team on tours communication, and with the Learning team and others regarding volunteer management and resources. Maintains the tour scheduling and volunteer management systems for the Learning team. Communicates with teachers and other tour requestors about their tours and other related programs. Provides administrative support to the Learning team.In this role, you will…Coordinate all aspects of guided tours and large group programs including scheduling:Coordinate and assign guides and volunteersCollaborate closely with the Visitor Experience managers on tour and program details, communication, and available volunteer resourceCollaborate with educators and Learning staff on volunteer assignments and capacityCreate and update tour request formKeep tour statistics, maintain volunteer records, develop and generate a variety of daily, monthly, and annual reportsProvide email and phone support to 200+ volunteers, and all clients requesting toursProblem solve to make processes and volunteer relationships productive and positiveProvide administrative, event and communications support for volunteers, including but not limited to:General communication with active and retired guidesHandling Staff Savvy inquiries from volunteersTracking and ordering volunteer lounge suppliesCreating volunteer event orders and attending and managing eventsFacilitating contract approvals, reimbursements, and payments, and maintaining tour propsMaking volunteer-related updates to guide and Mia websitesProvide systems support and maintenance:Work with Information Systems, Visitor Experience, Events, managers and division head to maintain and enhance current systems for scheduling and managing tours and assigning guides, as well as on enhancements to existing systemsGuide Learning team system users in best practices for system procedures and policiesTrain Learning and Volunteer team users of the systemResearch and, if possible, resolve problems with the systems independently and/or with Information Systems staffAssess current systems, recommend and collaborate with appropriate staff to make updates as neededCreate and update requirements documentationPerform other related duties and responsibilities as required or assignedTo be successful in this role, you have…Excellent communication and customer service skillsExcellent organizational, methodical, and time management skills with attention to detailAbility to provide administrative support utilizing high-functioning multi-tasking capabilities as well as work initiative, problem solving, accuracy, follow-up and follow-throughRequirements:Required:Minimum of one year of experience with resource management database softwareExperience supporting a teamExperience utilizing multiple types of office and scheduling software - Google Office Suite, Microsoft Office Suite, Project Management software (Asana), Scheduling software, CRM software (Salesforce), CMS software (Wordpress)Availability on occasional evenings and weekends as needed to support tours, programs, and volunteersAbility to lift up to 25 pounds (for moving office supplies)Preferred:Two to three years of related experience. Systems maintenance experience.
