Job Description

The Field Operations' Coordinator is responsible for assisting the department with all administrative, operational, and logistic needs.

Job Duties

Organizes all pertinent information related to the department and provides documentation of department processes.Manages both internal and external communications for the department.Responsible for reconciliation of invoices and purchase transactions for the department.Oversees and ensures proper allocation of hours worked for Field Operations technical crew and Photographer/Editors.Assists with managing travel and expense process and reporting for the department.Oversees vendor pool used by the department and helps onboard company approved vendors in the current vendor management process.Provides support to the Field Technical Manager and Manager, Field Operations as needed.Acts as a production assistant/runner when needed on large remote productions.Partners closely with clients and other NBCU divisions on all future and ongoing projects/productions.Partners with Manager in seeking operational improvement/efficiencies in partnership with Telemundo clients and other O&T departments.Works under the direct supervision of the Director, Field Operations and is responsible for completing any other tasks as assigned as needed.

Qualifications

Basic Requirements:

Minimum of 2 years of experience working within TV/film production or equivalent work experience.Prior and proven experience managing invoices, accounts receivable, and administrative support for a large department/division.Prior work experience with data entry and data management.Proficient in Office 365 (Word, Outlook, Excel, PowerPoint, SharePoint, Yammer, Stream, and Teams) and other related tools.Fluent in English and Spanish (both written & verbal).

Desired Characteristics:

Bachelor's degree in related field strongly preferred.Exceptional communication, time management, analytical and organizational skills.Self-starter who exhibits ownership on assigned tasks and who will push for solutions that solve immediate problems while building towards long-term goals.Ability to multitask and work in a fast paced, dead-line driven environment.Accustomed to working in a team and collaborating with all levels within the organization.Ability to build rapport with clients and manage expectations.Ability to effectively be flexible in approach, and respond well to pressure.Ability to lead and direct others, promote positive work environment and problem solves.Process oriented, good at identifying and implementing best practices.Change agent; creative and adaptable when facing challenges.
