Job Summary:

Performs a variety of clerical tasks which may involve the performance of typing tasks. This is responsible and varied clerical work which may require a qualified typist. It calls for the exercise of judgment in the application of prescribed procedures and methods to routine matters. Depending upon the nature of the assignment, the work may be done under close or general supervision and checked by another step in a clerical process or by an immediate supervisor.

Job Description:

DUTIES & RESPONSIBILITIESPrepares purchase orders and accounts payable slips, under Department guidelines.Processes invoices and applications, under Department guidelines.Searches records.Handles time and attendance report for employment department.Writes up maintenance requests.Cross-indexes and files documents and correspondence alphabetically, numerically or by other classification.Maintains logs and other records, under Department guidelines.Assembles data from office records and data for various reports.Maintains simple and complex records, under Department guidelines.Acts as a receptionist.Delivers and picks up material.Types correspondences from rough drafts, requisitions, statistical tabulations and data, form letters, memoranda, voucher, reports and other materials.Takes messages and transfers calls.Accesses, inputs and retrieves information from a computer.Will assist with Department recreational programming, Special Events, Community rentals, and afterschool program, holiday and summer youth camps.Other duties as assigned.QUALIFICATION REQUIREMENTS

EDUCATION AND EXPERIENCE REQUIREMENTS

High school or general education degree (GED) from an accredited institution is required.Experience in clerical work involving typing is required.An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered for minimum requirements except for licensure/certification requirements.PREFERRED SKILLS

Business school training highly desirable.An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered for minimum requirements.LANGUAGE SKILLS

Ability to provide good customer service and deal with the general public in a professional, courteous manner.Ability to develop and maintain good personal relationship with other employees and the public.Ability to clearly and effectively communicate both verbally and in writing.REASONING ABILITY

Ability to prepare complete and accurate accounting reports and statements of considerable complexity.Ability to follow and apply common sense understanding, to carry out instructions furnished in written and oral form.Exercise independent judgment in the performance of specifically assigned responsibilities .Ability to deal with problems involving several variables in standardized situations when immediate guidance from the supervisor may not be available .OTHER SKILLS AND ABILITIES:

Thorough knowledge of the methods used in keeping governmental fiscal accounts and records of office terminology, procedures, routine, and equipment.Good knowledge of modern governmental accounting practices.Ability to prepare fiscal reports.Ability to perform complex, detailed work involving written and numeric data and to make calculations rapidly and accurately.Ability to use a computer, with knowledge in the use of Microsoft Office.

WORK ENVIRONMENT/ADA:

While performing the duties of this job, the employee is regularly required to sit for long of periods of time performing repetitive functions. The employee must be able to access file cabinets for filling and retrieve data. The employee must have the ability to sit at a desk and view a screen for extended periods of time.
