Position Overview

We are looking for a highly organized and adaptable Administrative Assistant to support some of our Bothell site leadership and their teams. This is a unique opportunity to join a growing organization, support multiple people and their critically important work, and contribute to the success of our company.

Responsibilities

Leadership SupportManage the leaders' calendars, schedule meetings, and make travel arrangements.Submit and reconcile expense reports.Act as a point of contact between leaders and internal/external stakeholders, including clients, partners, and employees.

CommunicationPrioritize and manage incoming and outgoing correspondence, ensuring timely responses.Coordinate and facilitate effective communication within the leadership team and across departments.

Meeting CoordinationPlan and organize meetings and team gatherings.Ensure meeting materials are distributed in advance and that meeting logistics run smoothly.Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.

TravelPlan and book all flight and travel accommodations.Provide travel itinerary and be available for urgent travel needs.Research accommodation, dining options, and provide recommendations as needed.

General team supportAssist with providing team members' general support.Provide general support to visitors, interview candidates and new hires.Track the submission of contracts and POs.Demonstrate the ability to handle unexpected challenges and adapt to changing priorities.

Qualifications

Bachelor's or Associate's degree.Minimum of 2 years of experience providing administrative support to leaders.Biotechnology or Pharmaceutical Industry experience is preferred.Demonstrated ability to coordinate complex scheduling requests and communicate effectively with senior leadership, and internal and external partners.Available to respond to urgent request and/or emergencies during evening, weekend, and holidays.Ability to collaborate effectively in an ever-changing, team-oriented environment.
