We are seeking a dynamic, detail-oriented, and experienced Executive Assistant to join our fast-paced manufacturing industry. This position will play a pivotal role in supporting our executive team in a wide range of administrative tasks, ensuring the smooth and efficient running of the business. Responsibilities:
- Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, organizing travel arrangements, and coordinating events.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professionalism.
- Manage and maintain executives' schedules, appointments, and travel arrangements to ensure optimal time management.
- Conduct research, assemble and analyze data to prepare reports and documents for executive review and decision-making.
- Coordinate project timelines and follow up with internal and external stakeholders as necessary.
- Maintain a high level of confidentiality in all interactions.
- Assist in the preparation of regularly scheduled reports and presentations using Microsoft Excel and other software.
- Develop and maintain a filing system that allows for easy reference and rapid retrieval of information.
- Liaise with internal staff at all levels and interact with external clients and vendors.
Qualifications:
- A minimum of 5 years of experience as an Executive Assistant or similar role, preferably within the manufacturing industry.
- Exceptional organizational skills with the ability to multitask, prioritize and manage time effectively.
- Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel.
- Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff and external contacts.
- Strong problem-solving skills and the ability to work independently and make decisions within the scope of the position.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- A proactive approach to problem-solving with strong decision-making capability.
- Ability to anticipate the needs of the executive team and act accordingly.
- Bachelor's degree in Business Administration or related field is preferred but not required.
