Our esteemed law firm is seeking a dynamic and experienced Executive Assistant to support our dynamic senior leadership. This is not your typical Executive Assistant role. It is a high-impact position that requires an individual with a strong background in the legal industry, exceptional organizational skills, and an ability to thrive in a fast-paced environment. The successful candidate will be a critical part of our team, providing high-level administrative support to our senior partners and managing various administrative tasks to ensure our office's smooth operation.

Responsibilities:

As an Executive Assistant, you will be tasked with:

  1. Managing and maintaining the partners' complex calendars, coordinating meetings, and ensuring they are well-prepared for all engagements.
  2. Drafting memos, letters, and other forms of internal and external communication.
  3. Coordinating domestic and international travel arrangements, including flight bookings, hotel reservations, and itinerary planning.
  4. Reviewing and interpreting contracts and other legal documents, providing summaries for partners when necessary.
  5. Providing comprehensive administrative support to the office, including filing, photocopying, answering phones, ordering supplies, and maintaining office equipment.
  6. Utilizing Microsoft Office Suite to create and edit documents, spreadsheets, and presentations.
  7. Problem-solving any issues that arise, using your initiative and judgment to make decisions on behalf of partners.
  8. Assisting with special projects as needed, demonstrating your ability to multi-task and meet deadlines.

Qualifications:

The ideal candidate for this role will possess the following qualifications:

  1. A Bachelor's Degree in a related field.
  2. A minimum of 5 years of experience as an Executive Assistant in a law firm or legal department.
  3. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  4. Exceptional organizational skills and attention to detail.
  5. Strong written and verbal communication skills.
  6. Ability to manage complex calendars and coordinate meetings.
  7. Experience with domestic and international travel arrangements.
  8. Proven ability to review and interpret legal contracts.
  9. Excellent problem-solving skills with the ability to make decisions in a fast-paced environment.
  10. Ability to handle confidential information with discretion.
