Our esteemed law firm is seeking a dynamic and experienced Executive Assistant to support our dynamic senior leadership. This is not your typical Executive Assistant role. It is a high-impact position that requires an individual with a strong background in the legal industry, exceptional organizational skills, and an ability to thrive in a fast-paced environment. The successful candidate will be a critical part of our team, providing high-level administrative support to our senior partners and managing various administrative tasks to ensure our office's smooth operation.
Responsibilities:
As an Executive Assistant, you will be tasked with:
- Managing and maintaining the partners' complex calendars, coordinating meetings, and ensuring they are well-prepared for all engagements.
- Drafting memos, letters, and other forms of internal and external communication.
- Coordinating domestic and international travel arrangements, including flight bookings, hotel reservations, and itinerary planning.
- Reviewing and interpreting contracts and other legal documents, providing summaries for partners when necessary.
- Providing comprehensive administrative support to the office, including filing, photocopying, answering phones, ordering supplies, and maintaining office equipment.
- Utilizing Microsoft Office Suite to create and edit documents, spreadsheets, and presentations.
- Problem-solving any issues that arise, using your initiative and judgment to make decisions on behalf of partners.
- Assisting with special projects as needed, demonstrating your ability to multi-task and meet deadlines.
Qualifications:
The ideal candidate for this role will possess the following qualifications:
- A Bachelor's Degree in a related field.
- A minimum of 5 years of experience as an Executive Assistant in a law firm or legal department.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage complex calendars and coordinate meetings.
- Experience with domestic and international travel arrangements.
- Proven ability to review and interpret legal contracts.
- Excellent problem-solving skills with the ability to make decisions in a fast-paced environment.
- Ability to handle confidential information with discretion.
