Description

We are seeking a dedicated Administrative Assistant to join our Materials Management team. This position plays a crucial role in providing administrative support, analytical services, and quality assurance for the Materials Management departments within the UCLA Health network. The ideal candidate will be a proactive problem-solver with strong organizational and communication skills.Responsibilities include, but are not limited to:Serve as the department receptionist, directing all incoming calls and inquiries.Coordinate departmental meetings and maintain meeting minutes.Provide assistance to new staff members including requesting system access, scheduling trainings, and providing resources.Prepare and present detailed reports and recommendations to senior management.Offer financial support by processing Accounts Payable, reviewing invoices, and submitting payment or reimbursement requests.Support reporting requirements, special projects, and performance improvement initiatives.Perform additional related tasks and duties as required or assigned.Salary Range:

$29.42-42.14 HourlyThis position will be based at the Van Nuys Warehouse. This position may require travel to other UCLA Health locations including but not limited to Westwood and Santa Monica as needed.Qualifications

Required:At least 5 years of relevant administrative experience.Experience working in an acute health care setting.Proficient use of Lawson EMPAC database system.Proficient use of computer software and Microsoft Office.Ability to perform basic arithmetic calculations.Skills in performing accurate record keeping and organization.Strong critical thinking and problem-solving skills.Skills in dealing with all levels of management, staff, customers, and vendors.Consistently demonstrates a high degree of accuracy and attention to detail.Ability to consistently adhere to Materials Management/Receiving and UCLA Health policies and procedures.Strong communication, interpersonal, organizational, and facilitation skills with a strong customer service emphasis.Skilled in performing with frequent interruptions and/or distractions.Skilled in setting priorities that accurately reflect the importance of job responsibilities.Ability to work in a team and independently to follow through on assignments and direction.Ability to perform multiple tasks within specified timeframes.Demonstrated skills and knowledge to recognize "confidential" issues/information/documents, and ability to retain the corresponding confidentiality and handle the related issues in a proper manner.Ability to attend all in-services/workshops as requested; participates in required fire, safety, disaster, body mechanics, etc. classes and/or drills.
