Position Summary

This position is under the general supervision of the Director of the Master of Science Online (MSOL) program, provide support for the administrative aspects of the program specific to admissions, student enrollment and records management. Incumbent's responsibility includes counseling through the admissions stage of the program. Extensive academic counseling of students across all stages of the program once a student has inquired about the program. Evaluate applicants (approximately 300+ applications) for admission to the MSOL Program, including review candidates' application packages, communicate with applicants for potential admission, analyze and present written recommendations for each application. Monitor applicants and admitted students' progress in terms of preparing for the MSOL program. Close interactions with academic units and its faculty to facilitate student progress and achievement in the program. General student affairs management for a cohort of up to 500+ students. Assist in the management of special events including admission and recruiting events, information sessions, orientation and graduation. Advise and work with Associate Dean, faculty and students on policies and procedures pertaining to course of study, progress within the program, advancement to candidacy, dismissals, and degree requirements. Planning, organizing and presenting annual graduate student orientation sessions in the Fall. Serve as a program representative at corporate and university education fairs. Provide information to prospective applicants regarding the programs suitability to their needs. Marketing of the program to primary industry partners. Ability to speak in a public forum to small and large groups. Create and maintain student records. Assist in the maintenance of the school's admissions databases. Evaluate domestic and foreign transcripts and credentials. Maintain student files for the purpose of record keeping and admissions evaluations. Counsel applicants on enrollment and outlining options for course of action. Assist with enrollment and scheduling. Liaison with Graduate Division, the Registrar, UCLA Extension, UCLA Summer Session specific to, registration and billing. Create informational flyers. Assist with the maintenance of the program's Web pages. Occasional weekend and evening hours required for education fairs, students information sessions, Commencement weekend. Some travel maybe required.

Salary & Compensation

1. Working knowledge of and School rules, regulations, policies, and procedures as they related to student affairs and curricula requirements. (Preferred)

2. Working knowledge of the Registrar's Office and student services such as Career Center, Student Psychological Services, and Financial Aid. (Preferred)

3. Familiarity with University on-line systems and procedures, SIS (student information systems) and SRS (student records systems) (Preferred)

4. Ability to interpret transcripts. (Required)

5. Organizational skills, mathematical skills, attention to detail. (Required)

6. Computer and data base skills necessary to maintain student data bases, process electronic degree audit notices and generate reports. (Required)

7. Strong proficiency in Microsoft Office with emphasis in Access (database administration), word (creation of forms & tables, signs, labels) and excel (formulas, database, function, spreadsheet, data sorts, etc. Experience with html web site design and maintenance. (Required)

8. Ability to multi-task with frequent interruptions, set priorities and work independently with minimal direction, think strategically, work in demanding situations. (Required)

9. Skill in employing fundamental counseling techniques. (Required)

10.Communication, interpersonal skills and political acumen to interact with a diverse population. (Required)

11. Ability to make oral presentations to student groups. (Required)

12. Skill in writing grammatically correct reports and correspondence. (Required)

Education, Licenses, Certifications & Personal Affiliations

Bachelor's Degree in related area and /or equivalent combination of education and experience/training (Required)
