The Firm has also been named to the AmLaw 200 list, placing us among the top 200 law firms in the country and is a result of our continued strategic growth.Position Summary:The Executive Assistant coordinates all activities of their assigned executives including high-level administrative support, handling information requests and performing support functions such as planning travel and expense reports, preparing correspondence, receiving visitors, arranging conference calls and calendaring in a timely and accurate manner.Essential Functions:Provides administrative support to executives including correspondence, report generation, memoranda and/or other documents, revising, proofreading, assembling and distributing prepared material as necessary.Schedules and confirms appointments in a proactive manner, makes travel arrangements, screens and routes telephone calls, and prepares expense reports as necessary.Communicates properly and promptly with BFCA personnel and external contacts at all times and must exhibit a high level of customer service. Answering phone calls and directing calls to appropriate parties or take messages.Files and retrieves documents, records, and reports.Assists with special projects and analyses.Assists the Chief Operating Officer in managing all of the Firm's professional liability insurance, commercial property insurance and lease renewals.Provides requested certificates of insurance to requesting attorneys, clients, or vendors.Arranges meetings as requested. As necessary records, types and distributes meeting minutes.Maintains confidential working files for all Firm timekeepers.Updates and maintains the Firm's Department Listing, Standard Committee assignments and administration organization chart.Additional Responsibilities:Maintains a high skill level with regard to computer technology and other Firm specific software applications.Develops and maintains well-organized files, resource materials and administrative files for executives.Performs other duties as assigned.Qualifications:The Executive Assistant must have a High School Diploma. An advanced degree is preferred. A minimum of five years of experience as an executive assistant in a professional service environment is required. Must be proficient in Outlook, Excel, Word, and PowerPoint. Knowledge of Elite is preferred. Must be highly organized and have the ability to multi-task. Must possess professional communication skills and an excellent customer service attitude.
