About the Job

This position will provide research and administrative support to the Neuroplasticity Research in Support of Mental Health (NeuroPRSMH) group. This position will be hybrid, with some in-person activities on campus. Specific division of hybrid work schedule to be negotiated upon hire.Grant proposal management and coordination (25%):

Assist in the coordination, completion, and submission of grant proposalsWrite key components of grant proposals, including general overviews and administrative progress reportsEdit, proofread, format, and organize technical writing for grant proposals to various funding entities including NIH, DARPA, ARPA-H, and private sponsorsCreate charts, timelines, and tables for grant proposal documentsFormat and manage references and citations in central database, and ensure adherence to grant proposal formatting instructionsSolicit, collect, organize, and compile individual faculty documents such as Biosketches and Other Support documents for grant proposal submissionMonitor and ensure completion and timeliness of grant proposal submissionsPrepare template grant proposal documents and organizes appropriate links and resources to send to facultyDraft supplementary grant proposal documents, including Facilities, Resources, and Equipment documentsOther tasks as assigned

Research management and support (25%):

Monitor grant spending and fund distribution through coordination with accounting and relevant personnelCoordinate regular communications between accounting and team leads as necessaryPrepare, track, and manage budgets for events, conferences, and other activities, including managing quotes, coordinating billing, and/or handling purchases for meeting and event supportTrack deadlines and due dates for grant reports, data submissions, and related activitiesCommunicate key deadlines and due dates to team members, and ensure necessary information, documents, or content is submitted on timeCoordinate the compilation and submission of grant reportsAssist in the preparation and coordination of manuscripts, providing writing, data analysis, references, etc., as neededSolicit, collect, and organize applications for internal seed grant supportSupervise and manage work study students, as applicableOther tasks as assigned

Internal team coordination and communication (20%):

Manage internal communication among group members and between group members and group directorsDistribute information about group opportunities and resourcesHandle administrative and organizational duties to ensure smooth operation of the groupDiscover, track, and solve technical and operational problems that ariseInitiate, design, and develop group strategy materials, such as research aim mind mapsDesignate, compile, edit, and maintain group listservs, Google Drive, and shared group calendarsPlan and facilitate weekly group and sub-group meetings, including setting up needed technology for zoom and in person meetingsPlan, organize, and oversee logistics of group meetings, events, and seminarsTake notes at group meetings, track time keeping, and take note of follow-up items as neededCommunicate important information and action items to the group pre- and post-meetingsMonitor progress and workflows across the group, send reminders or updates to group members as neededSolicit input from group members on group activities and support, and address and implement member feedbackField and fulfill individual member requests for assistance, information, or delivery of feedback to group directorsOther tasks as assigned

Data management and analysis (20%):

Assist in the creation, management, and maintenance of a central database for groupSupport access, maintenance, and upkeep of the central databaseEnsure adherence to regulatory requirements and guidelines in data managementWork with team members to perform various steps within data collection, management, and analysis, as assignedPerform various data analysis tasks as assignedProgram scripts to perform data-related tasks, including curating, aligning, and analyzing datasets, and related actionsCreate graphs, tables, figures, or other content to present dataPerform various other tasks related to data management, data analysis, and data architecture, as assignedOther tasks as assigned

Team development and advancement (10%):

Pursue efforts related to growing the group's reach and recognitionHelp shape the group's identity and trajectoryFind new programs and initiatives for the group to participate inIdeate initiatives and strategies to optimize the efficiency and utility of all the actions and processes within the group and for the groupPromote research collaboration efforts by organizing sub-group meetings to pursue projects and grantsServe as liaison for the group with administrative staff, accounting, and other departmentsCoordinate with prospective event venues for visits, tours, or other eventsCoordinate external communications and serve as main point of contact for logistical needsServe as lead for external faculty visits, talks, and meetings, including managing itineraries, travel logistics, transportation, and reimbursements as applicableLead coordination for external and internal advisory board meetings, visits, reports, and related activities or contentRepresent the group for external communications with sponsors, donors, public inquiries, and similar entitiesServe as lead for event coordination, including communications and coordination with speakers and event staffManage social media accounts and websites for the groupMonitor strategic communications (social media, sponsor websites, email communications, etc.) for important information relevant to the group and related efforts among team members and communicate those to the group in a timely fashionOther tasks as assigned

Qualifications

All required qualifications must be documented on application materialsRequired Qualifications:*Master's Degree and 2 years related experience, or BS/BA and 4 years of related experience.*Previous experience in grant proposal coordination including writing and editing proposals, coordinating supporting documents, and assisting in submission processes.*Previous experience in conference and/or event coordination and management.*Previous experience in data analysis and database management.*Strong organizational abilities.*Excellent communication skills.Preferred Qualifications:*BS/BA in biology, biological engineering, computational biology, or related field and at least 4 years of related experience.*Programming experience in Python, MATLAB, and R.About the Department
