Our client, a national nonprofit organization dedicated to funding research and scientific discoveries, as well as building communities of caregivers. Our team is passionate about making a difference in our community and beyond, and we are seeking a dedicated Senior Administrative Assistant to join us in this effort.

Position Overview:The Senior Administrative Assistant will provide high-level administrative support to the Program Support team, performing a wide range of executive support tasks and managing departmental operations. This role is pivotal in ensuring efficient coordination of meetings, conferences, and other key activities. The ideal candidate is proactive, highly organized, and capable of handling multiple priorities with accuracy and speed.

Key Responsibilities:Executive Support:

Provide comprehensive administrative support to department leadership, including managing calendars, scheduling meetings, preparing agendas, and handling correspondence.Meeting Coordination:

Organize and coordinate departmental and cross-departmental meetings, including preparing materials, setting up virtual and in-person meetings, taking minutes, and following up on action items.Conference and Event Support:

Assist in planning and executing department-sponsored events, conferences, and workshops, including coordinating logistics, managing RSVPs, liaising with vendors, and supporting on-site activities.Document Management:

Prepare, edit, and distribute documents, presentations, and reports; ensure proper filing and retrieval of electronic and paper records.Communication:

Serve as the primary point of contact for internal and external stakeholders, handling inquiries and maintaining effective communication channels.Project Management:

Assist with special projects, research, and data analysis as needed; ensure timelines are met and deliverables are completed.Travel Coordination:

Arrange travel, accommodations, and itineraries for department staff as needed.Administrative Operations:

Manage office supplies, equipment, and service requests; provide support for other administrative needs within the department.

Qualifications:Experience:

Minimum of 5 years of administrative or executive assistant experience, preferably in a nonprofit or mission-driven environment.Education:

Bachelor's degree or equivalent experience in business administration, communications, or a related field.Skills:

Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.Strong communication skills, both written and verbal.Proficiency in Google Suite and familiarity with virtual meeting platforms (Zoom, Teams).Detail-oriented with strong problem-solving abilities.Ability to work independently and collaboratively in a team environment.High level of discretion and professionalism when handling sensitive information.

Preferred Qualifications:Experience in event planning or conference coordination.Familiarity with donor management and CRM software.Knowledge of nonprofit operations and best practices.
