$66,560.00-$70,000.00 annuallyThe Executive Assistant to Academic Affairs Officer provides administrative, operational, and secretarial support to the Provost and Vice President for Academic Affairs. The Executive Assistant works as a team with the Executive Assistant to the President and provides administrative support to other administrators in the administrative suite as needed. General responsibilities include assisting with and coordinating projects, maintaining appointment schedules, managing correspondence, assisting with coordination of faculty searches, faculty evaluations and faculty sabbaticals, and managing electronic and paper files. Special attention will be devoted to assistance with preparation for, and coordination of, the WASC and other specialty accreditation visits.

Duties: Effectively oversee and coordinate the daily operations of the Provost’s Office by providing multi-faceted administrative and technical supportAct as the primary point of contact for the Provost’s Office for internal and external stakeholdersMaintain a complex set of schedules with a high volume of meeting requests, including travel details, arranging details of meetings/appointments, helping to set agendas, preparing documents, and recording minutesMonitor FPU Provost emailCompose, edit, proofread and otherwise help prepare communications, reports, presentations, videos, and other documents/files for distribution from the Provost’s OfficeAct as the budgetary administrator of the Provost’s Office ensuring all expenses are correctly recorded under the proper budget line and monitor overdrafts, including review of monthly reports of adjunct and overload paymentsSupport the Provost in the annual budgeting process for the various Academic Affairs departmentsCoordinate faculty evaluations, including maintenance of folders, feedback, and Rank and Tenure Committee interviews for rank and tenure evaluations.Process faculty development requests for funding, sabbaticals, research grants, and merit applications.Prepare and manage faculty contracts for both renewal and new hires.Manage details related to Provost direct-report hiresMaintain updated University Committee listing.Maintain electronic and paper files including faculty personnel filesAssist Provost in planning the New Faculty Development sessions, Convocations, Commencement, and other events as neededWork with the Faculty Handbook Committee to annually update the Handbook.Maintain accuracy of information on the provost intranet web page.Coordinate or lead assigned Academic Affairs projectsKeep all information, data, and sensitive matters in the highest confidenceMaintain a general understanding of the work performed in each Academic Affairs department such that they can step in and support those associates if neededComplete tasks timely with work that is comprehensive, complete, and accurateCommunicates clearly, listens attentively, and seeks to understand othersCollaborates productively with colleagues of varying skillset Other job duties as assigned
