Description

Essential FunctionsAssists the Accounting department with administrative tasks using computers and office equipment.Duties and Responsibilities

Manages scheduling appointments, meetings, and travel arrangements for senior staff and employees and coordinates logistics for meetings, including room setup and cateringCreates and prepares letters, reports, presentations, and confidential documentsWorks with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulationsActs as the point of contact for employees and clients by answering phone calls and emails and directs them to the appropriate personnelPrepare and maintain communication such as memos, emails, invoices, reports and other correspondenceCreate and maintain filing systems, both electronic and physicalInputs data for logging transactions, and entering AP transactions in ERP systemManages office supplies by maintaining inventory of supplies, placing orders, and coordinating deliveriesAssists with managing contracts by gathering quotes and documents and obtaining signaturesHandle mail, file paperwork, scan documents, and occasionally cover the receptionist area when required.Other duties as assigned.Requirements

Education/Experience

Required:

High School Diploma1-3 years administrative experiencePreferred:

Some college courseworkExperience performing administrative duties for accounting, customer service, or related departmentsKnowledge, Skills, Licenses, Certifications, Etc:

Required:

Strong computer skillsStrong administrative and organizational skillsThe ability to communicate effectively and courteously in writing and verballyUnderstanding of telephone systems, mail systems, faxes and other office equipmentStrong software skills including Microsoft Office programs, Outlook, and other software packagesTime management, multitasking, and flexibilityPhysical Demands

Must be able to sit for extended periods of timeMust be able to lift and carry boxes containing accounting/financial materialsMay be required to reach, stand, walk, or crouch for short durations of timeWork Environment
