Job Summary:

This position provides comprehensive administrative assistance and project management support to the project leadership team and contributes to the success of projects objectives and outcomes.

Job Responsibilities:

Provide administrative support to project leadership team, including managing calendars, scheduling meetings, and prioritizing internal and external appointments.Coordinate meeting and events by booking conference rooms, ordering food and refreshments, preparing materials, and handling logistics.Support student enrollment initiatives including attending community events and visiting referral sourcesSupport staff recruitment initiatives including attending job fairs and other community events and reviewing resumes and conducting screening.Assist in collecting and maintaining accurate project data and performance metrics, ensuring accessibility and compliance through project management system.Oversee procurement needs by obtaining vendor quotes and onboarding new vendors, ordering equipment and supplies, coding/submitting invoices to finance department, label and update grant funded materials in inventory tracking system.Assist in managing project budgets by tracking expenses and ensuring compliance with funding guidelines and reporting requirements.Support in tracking staff professional development, engagement, and retention initiatives, while maintaining relevant records for performance reporting.Perform other duties as assigned.What UCP Offers

Qualifications

Education and Training:

High School Diploma (or equivalent) - Preferred Associate-Degree in business administration, non-profit management or related field.

Minimum Experience:

2 years administrative assistant experience in non-profit, including managing multiple projects, supporting leadership team members, and fostering relationships with stakeholders.Exceptional customer services skills with a focus in community outreachStrong attention to detail and problem-solving abilitiesExcellent communication skills to manage internal and external functionsProficient in Microsoft Office application (Word, Excel, PowerPoint) and project management softwareReliable and committed to achieving collaborative outcomesSelf-driven, confident, and capable of working independentlyHighly organized, adaptable, and a critical thinkerMaintain a positive and professional attitude and appearance at all times
