In-Office Position
Job Type: Full-time
Introduction: ioMosaic is a leading provider of process safety and risk management services, helping clients identify, assess, and mitigate hazards in their operations. We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing team.
Responsibilities:
Greet visitors and direct them to the appropriate departments or individuals
Answer and manage incoming calls, emails, and inquiries
Maintain office security by following safety procedures and controlling access via the reception desk
Managing budget and expense reports such as tracking and reconciling expenses, preparing financial reports and assisting with budget planning.
Order and maintain office supplies and equipment
Assist with organizing company events and team-building activities
Schedule appointments and meetings for executives and upper-level staff
Prepare documents, presentations, and reports as requested
Manage and update company databases and customer relationship management systems (CRM)
Assist in the preparation of regularly scheduled reports
Perform other administrative tasks as assigned
Manage and approve office expenses, ensuring proper budgeting and record-keeping.
Troubleshoot and resolve minor office equipment malfunctions and respond promptly to employee requests and issues.
Strong knowledge of MS, PowerPoint including skills to create and transform MS Word documents into PowerPoint presentations.
Handling confidential data and information with discretion is crucial.
Coordinate with other departments to ensure compliance with established company policies and Quality Management System (QMS).
Manage the knowledge, time, and expense management system (ISO 9001), including:
Document Control Management
Time, Project, and Expense Management
Assist sales team and project team by gathering information for Proposals, Qualifications (PQFs), and Requests for Quotations (RFQs).
Process incoming purchase orders and signed agreements.

Requirements:
2 years
of proven experience as an administrative assistant, virtual assistant, or office admin assistant
Strong knowledge in MS Office (Word, MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School diploma; additional qualification as an Administrative Assistant be a plus.
