Administrative Assistant

Salary/Hourly Rate:

$60,000

Position Overview:

The Administrative Assistant supports executive(s) and office by doing administrative tasks like coordinating travel, creating reports, managing the office, following up with external partners, and planning meetings. The ideal Administrative Assistant candidate is organized, attentive, and communicates well. The job requires being available during work hours to help their team.

Responsibilities of the Administrative Assistant:

Use EXCEL (VLOOKUPs, pivot tables) to work on spreadsheets to assist the accounting team. Example would be credit card reconciliations or invoice processingProvide administrative support: Assist with day-to-day administrative tasks such as answering phones, managing emails, scheduling appointments, and maintaining office suppliesCoordinate projects: Collaborate with the team to ensure smooth project execution, including organizing project timelines, tracking progress, and communicating updates to relevant stakeholdersManage vendor relationships: Liaise with vendors, contractors, and service providers to schedule appointments, coordinate deliveries, and resolve any issues that may ariseAssist with operations: Support the operational activities of the company, including document management, filing, and maintaining databases to ensure accurate and up-to-date informationPrepare reports: Compile data and generate reports related to financial transactions, market analysis, and other relevant information as requested by managementConduct research: Assist in gathering information and conducting research on investments, market trends, competitors, and other related topics to support decision-making processesMaintain records: Ensure proper record-keeping by organizing and managing physical and electronic files, including contracts, leases, agreements, and other important documentsCoordinate meetings and events: Schedule and arrange meetings, appointments, and events, including booking venues, coordinating catering, preparing materials, and managing RSVPsSupport marketing efforts: Assist in marketing activities such as creating promotional materials, managing social media accounts, and coordinating advertising campaignsProvide exceptional customer service: Act as a point of contact for clients, providing assistance, answering inquiries, and addressing concerns in a timely and professional manner to ensure a positive client experienceQualifications for the Administrative Assistant:

Diligent and AnalyticalStrong written and verbal communicationTech savvy: strong with MS Outlook and ExcelTakes initiative and is proactive. Willing to take on ad-hoc projectsStrong attention to detail - cannot let tasks slip through the cracksMinimum 3 years of experience supporting as Administrative AssistantHave proven ability to independently manage multiple tasks and projects with completing priorities and deadlinesAbility to remain focused, efficient and effective in managing multiple prioritiesStrong interpersonal skillsHighly proficient with Word, Excel, PowerPoint, Outlook and willingness to learn other softwareExcellent written and verbal communication skillsAbility to work in fast paced environment and maintain effective working relationships with vendors, clients, co-workers and management teamAll of Microsoft (Specifically: Word, Excel, Teams, Outlook)Understand and can use Excel for VLOOKUPsEducation Requirements:
