Supervisory Responsibility

Supervision of student employees is a responsibility of this position.

Position Summary

The primary purpose of this job is to increase awareness, student enrollment and retention of English Language Acquisition students (ELA) and Spanish GED students in the GED & Pre-College Education (PCE) program and the Integrated English Language and Civics Education grant (IELCE).

Examples of Duties - Essential Functions

1.

Program Coordination

Promotes and recruits' students via outreach at local organizations, agencies, and high schools.Communicates ELA/Adult Education/GED programs and services.Assists students with admission, placement, orientation, and registration processes.Monitors student progress and conducts follow up.Advising ESL/GED in Spanish students for ongoing academic/career opportunities through short-term certificate programs.2.

Customer Service

Collaborates with the PCE and Academic Affairs team.Assists PCE department with promoting ELA, GED, and Adult Education programs.Participate in community events to promote PCE program information.Assists with training and supervision of new student employees.Translate department materials from English to Spanish.Working at least two evenings per week will be needed to support ELA and Spanish GED evening students.3.

Administrative

Maintains data for end-of-term and year reports.Assists with marketing and workshops.Oversees IELCE equipment inventory.Process vouchers and waivers.4.

Minimum Qualifications

Education

- A Bachelor's degree is required in business, education, or related field.Experience

- A minimum of three years progressively responsible administrative and/or customer service experience, including one year coordinating grants and budget, is required.Only degrees received from an accredited institution will be accepted: accreditation must be recognized by the office of degree authorization, US Department of Education, as required by ORS 348.609. Final candidate will be required to provide official transcripts for required degree.

- Advising processes, financial aid regulations, college policies and procedures, admissions, testing, academic programs, career identification, and college and other post-secondary entry strategies; college programs and services within assigned areas of responsibility; general office practices such as database management, Internet, Microsoft Office Suite® products (Word, Excel, Access and PowerPoint), document imaging, and web-based programs required.Skills

- Strong organizational skills, verbal and written communication skills; computer skills, preferably in Microsoft Office Suite® products; skills in planning and facilitating; recruiting, making presentations, and problem-solving. Fluency in both oral and written Spanish and English required.Abilities

- Advise/mentor prospective and enrolled participants in planning, monitoring, and achieving goals; assist participants in problem-solving and goal identification; analyze situations and determine required actions; communicate professionally and confidentially with a diverse group of students, faculty, staff, and community partners; maintain detailed and accurate manual and/or electronic records; work as a cooperative and contributing member of a team.4.

Other Requirements

This position is designated as requiring bilingual fluency in Spanish. Proficiency will be determined by a college-approved certification professional. Proficiency is defined by the ability to express yourself over a broad range of topics at a normal speed. You may have a noticeable accent and will make grammatical errors, for example with advanced tenses, but the errors will not cause misunderstanding to a native speaker. It is the responsibility of the employee to maintain bilingual skills throughout the duration of employment. A bilingual pay differential may apply to this role upon certification.For assignments requiring operation of a motor vehicle, possession of a valid Oregon Driver's License or the ability to obtain one within 30-days of employment, and maintenance of an acceptable driving record are required.5.

This position functions as an in-person work arrangement, working on-campus with either a set schedule or flexibility depending on operational needs.6.

Physical Demands

Manual dexterity and coordination are required for more than half of the daily work period (about 60%) which is spent sitting while operating office equipment such as computers, keyboards, 10-key, telephones, and other standard office equipment. While performing the duties of this position, the employee is frequently required to stand, walk, reach, bend, kneel, stoop, twist, crouch, climb, balance, see, talk, hear, and manipulate objects. The position requires mobility including the ability to move materials, 5 lbs. or less daily, and 5-25 lbs. occasionally. This position requires both verbal and written communication abilities.7.

Additional Posting Information

This is a Full-time Classified, 40 hour per week (100%) position in the GED & Pre-College Education department. Starting compensation is entry level for Group 7 on the 2024-25 Classified Wage Schedule.
