Looking for an Administrative Assistant II for Nashville, TN:

The Administrative Assistant II develops both general correspondence and technical documents for the administrative and technical staff. Ensures that filing is completed in a timely manner. Provides a computer database of standard and specific documents to be saved for future reference and retrieval. Assists the administrative and technical staff in the assembly, reproduction and distribution of documents for both in-house staff and clients.

Key Responsibilities:

Assists management in maintaining orderly correspondence and technical document filesAssists team leaders and/or project managers with the correspondence and communications required to administer projects and serve clientsUpdates Cosential contact entries, etc., as neededTracks the PE licensure and other certifications, as well as their renewals within Cosential for professionals in the locationImports Speclink for project specifications into Word and edit, format, and printout as neededUploads, downloads, and distributes submittals and RFIs using various custom software (Newforma, PDM, Submittal Exchange) as well as assembles and sends out hard copies of reviewed submittals and shop drawings as neededMaintains and distributes submittal and RFI logs dailyRequest and enter AIA data from project managersMay compile, bind, and distribute Project Manuals for state projectsProvides relief for ReceptionistSets up response letters and spreadsheets for Code Review CommentsFiles projects as needed and archives project files yearlyScans seals and distributes as neededDistributes mail daily; mails, ships and arranges courier deliveries of items as neededReserves conference rooms as needed and may manage and print conference room schedules weeklyOrders lunches and arranges catering as neededPlans client and colleague events as neededAssists with colleague training and vender presentations by coordinating room reservations, entering information into SSR University, tracking attendance, and setting up/cleaning up the roomCodes invoicesOccasionally assists with travel arrangementsIf applicable - may serve as the liaison of the office to coordinate with vendors and office functionsMaintain confidentiality regarding sensitive issues and confidential needsPerforms other administrative duties and tasks assigned by management

An ideal candidate will possess the following requirements:

•High school degree or GED equivalent and one year of applicable experience

•Experience in professional office environment preferred

•Ability to learn new software programs quickly

•Experience with administration in an Engineering, Construction, or Architect firm a plus

•Knowledge of Microsoft Office (i.e., Word, Excel, PowerPoint, and Outlook)

•Working knowledge of at least one word processing system and an ability to learn and understand other word processing systems.

•Must be energetic and capable of working in a team environment.

•Must be pleasant, dependable and punctual.
