BASIC FUNCTION:

Under general supervision, performs clerical, secretarial and administrative work, involving responsibility, complexity and variety. Provides general receptionist and office management support to a busy executive level office environment.

SUPERVISORY ACCOUNTABILITY:

May provide some general supervision to work-study and other student employees.

NATURE AND SCOPE :

Internal contacts may include cabinet, sub-cabinet administrators, faculty, students, and staff of the department and University including Academic Deans, Student Affairs Deans and Directors. External contacts include parents, federal and local officials, professional organizations, vendors, visitors and the general public.

PRINCIPAL ACCOUNTABILITIES:

Responsible for the management and coverage of the OVPSA front office.Greets and directs a variety of customers to the appropriate services and supports in the office, within the division and across campus.Ensures that guests are connected to the correct area or proper destination to answers questions and resolve any concerns.Provides assistance within scope of knowledge and responsibility. Answers telephone, directs calls to appropriate employee or offices to answers questions and resolve any issues.Coordinates the delivery, reception and pick up of incoming mail, packages and notices. Tracks, records and distributes information, notices, supplies, etc. to members of the department and division as appropriate.Reviews and analyzes proposals, inquires, memoranda and other communications forwarded to the Senior Leadership (SVP, AVP & Directors) for review, comments and follow up action.Drafts and edits important communications, reports and other documents for the signature. Performs a variety of typing assignments, including using the computer to maintain spreadsheets, databases, administer surveys, and assist in the preparation of executive summaries and presentations.Schedules appointments, meetings, conferences and travel arrangements. May maintain calendar of one or more high level employees in the department.Maintains message boards, printed and posted notices and keeps information current.Maintains department files and filing system, both hard copies and computerized files. Records and/or takes notes at meetings.Maintains various logs and ledgers and prepares monthly, midyear and annual summary reports of logs, minutes and ledgers.May be required to assist with special projects and some event planning.May also be temporarily reassigned to provide administrative support to other units within the division.May be required to work some late nights and evenings.Performs other job-related duties as assigned.CORE COMPETENCIES:

Knowledge of the University, its structure, and the written policies and procedures or familiarity with Academic Institutions and their structure, policies and procedures.Knowledge of word-processing, database management, presentation software, and spread sheets.Ability to assist the Senior Leadership team and AVP in planning, coordinating and monitoring a wide variety of projects relating to the programs, services and units under their purview.High degree of independent research and analytical ability in order to assess various program and management options and related strategies.Attention to detail and ability to manage multiple and complex schedules, calendars and changing priorities for the AVPs and their reporting units.Familiarity with office practices and secretarial science. Skill in operation of computers, related software applications (word-processing, spreadsheet, database, graphic presentations, information management, etc.) and standard office equipment.Skills in transcription, editing and the use of proper grammar, punctuation, spelling, business correspondence, composition and formatting.Communicate effectively orally and in writing with a diverse population.Ability to establish and maintain effective and harmonious work relations with faculty, staff, students and the general public.

MINIMUM REQUIREMENTS:

Bachelor's in administration, business or related area and four years of administrative experience, or Associate's with an equivalent combination of seven years progressively increasing secretarial experience.
