Overview:
The Institutional Affiliations & Credentialing Specialist Specialist reports directly to:Senior Administrative DirectorAssociate Dean of Clinical EducationAssistant Dean of Clinical EducationHe/she is required to work with significant oversite by department leadership and senior coordinators; demonstrates resourcefulness and interest in learning all the aspects of the position, begins to develop problem-solving skills in applying basic knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by university rules, department policies, and procedures.Work involves learning multiple software platforms, understanding the regulatory framework, early planning/ organizing, entry-level administrative duties, and data-entry input, and collaborating with other student coordinators on the team on all-staff projects.Depending on your qualifications and experience you may be eligible for Tier II.Responsibilities:This Tier-1 Position Description is intended to be a basic outline of the initial primary responsibilities and may not encompass all the duties an individual employee may be asked to perform. It is subject to change without advance notification. Other duties will be assigned as necessary.
Learn and understand the Clinical Rotations Affiliation Agreements process, including preparation/tracking/maintaining affiliated sites and their preceptors data in the database program; maintain agreement paper /digital files.Learn and understand the preparation, tracking, and maintenance of Affiliation Agreements routing documents.Learn and understand credentialing process applications and reappointment paperwork, checking for complete completeness and accuracy.Learn and comply with TUCOM and CED policies.Learn and understand adjunct faculty paperwork preparation for the CED Deans review.Learn and understand SmartSheet tracking.Learn and understand the preparation of Affiliation Agreements and Credentialing files for audits and maintaining electronic data.Run tracking reports as needed, including the AACOM survey and COCA reports, to learn and understand record preparation for auditing.Learn and understand CME declaration verification and credits reporting to the COM CME Department.Assistance to Associate Dean, Assistant Dean, and Administrative DirectorProvide administrative support such as generating and distributing mailingsVerbal, written correspondence with students/sites/preceptors via e-mail, fax, phone, walk-ins, and postal serviceThe Institutional Affiliations and Credentialing Coordinator is responsible for the day-to-day activities for administering the clinical rotations if neededData entry into a rotational database programOther duties and responsibilities as assigned
Qualifications:Bachelors Degree preferred, minimum two years study at an accredited College/University or equivalent job expense at college settingOrganizational and time management skills with meticulous attention to detailAbility to take initiative and work creatively and independentlyWork experience that demonstrates a confident and professional work style, including respect for confidentiality, the ability to exercise good judgment in stressful circumstances, ability to meet deadlines, be detail-oriented and be flexible with job assignmentsInterpretation of department/college policies and procedures; assists with the development and implementation of new internal policies and proceduresCORE COMPETENCIES:Strong organizational skillsAbility to multi-taskAbility to interpret a variety of instructionsAbility to function with limited supervision and to prioritize and meet deadlinesStrong computer skills (Word, Excel, PowerPoint, Calendar Program)Ability to learn specialty/custom-designed software programs; Highly proficient with website navigation skillsExcellent verbal and written communication skills; customer service and interpersonal skills; ability to interact with administration, faculty, staff, and studentsExperienced with working with other people in stressful situationsPHYSICAL DEMANDS:
