Executive Assistant to the Executive Team
Reports To: Chief Operating Officer
Status: Full-time; Non-exempt
Location: Washington, DC
Salary Range: $58,500 - $65,000
Position Summary
Launched in 2016, The Hub is a growing nonprofit effort made up of a team of communications, research, and organizing experts who have extensive experience in campaign strategy, digital, and polling and analytics. We believe in a country where everyone has the opportunity to succeed in our economy and participate in our democracy, and we make that vision a reality by partnering with advocacy groups - bringing surge capacity and coordination to build innovative and effective campaigns.
Position Summary
The Executive Assistant will provide overall administrative support to the Executive Director, COO, Counsel, and both Deputy Executive Directors to ensure that the Executive Team is fully prepared to run our organization every day. The Executive Assistant provides materials, agendas, and background information and takes on special projects to ensure the smooth and efficient operation of the office of the Executive Team.
As the Executive Assistant to the Executive Team you will...
Work synchronously with the Executive Team to manage and maintain calendars, activities, and various special assignments - including scheduling travel and conferences, making and updating appointments. Prioritize scheduling needs for Executive Team membersFrequently meet with the Executive Team to align on priorities and tasksManage Executive Team correspondence by reading and analyzing agendas and memos, determining significance and routing to appropriate personnel in a timely and efficient mannerPrepare and distribute agendas, minutes, reports and other key documents and collect and analyze information for meetingsAttend meetings and memorialize discussions, prepare briefing materials, coordinate follow-up materials, and report out action itemsCollaborate with the Campaign Teams to coordinate meetings with partner organizations, independent consultants, and key individuals on behalf of the Executive TeamWork closely between the Executive and Operations teams to coordinate and manage the logistics of key eventsTrack expenses and manage administrative records of the Executive TeamSupport the Executive Team on special projects, especially related to event planning, management support, and external stakeholder meetingsCoordinate with Senior Leadership and Operations team for weekly reports for both the Executive Director and COOPerforms other related duties as assignedAbout you...
You have a relevant work experience, ideally working in a C-suite environmentYou are well-practiced in managing up, highly organized, reliable, and comfortable in a fast-paced environment working under tight deadlinesYou have strong interpersonal skills and and are comfortable collaborating with a team while taking ownership of your piece of a projectYou are flexible with a penchant for problem solving, looking around corners, and for thinking on your feetYou are a strong written and verbal communicator, eager to dive in and tackle whatever obstacle crosses your pathYou are comfortable navigating confidential relationships and handling highly sensitive personnel and/or funding information with tactYou are proficient with GSuite and Microsoft Office tools and products..You are committed to a just and inclusive economy that delivers opportunity and dignity to all Americans and are passionate about preserving and strengthening our democracyYou have experience working directly with people from diverse racial, ethnic, and socioeconomic backgroundsYou have an entrepreneurial spirit
Benefits
Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year. Employees are eligible for 12 weeks of paid family and medical leave after 90 days of employment.
