Executive Assistant

Responsibilities

Arranges executive's calendar and schedules meetings with people at all levels, independently or as directed. Uses judgement, professionalism, and efficient use of appropriate questions to ensure schedule stays on track and productive. Adept at managing complex meeting scheduling across many senior exec attendees; works well with other assistants to navigate and resolve potential scheduling conflicts.Handle all logistics associated with internal and external meetings, appointments, and multi-location video conferencesAssist with AV and video conferencing needs; prepare materials and set-up meeting rooms; setting up catering and making copies. Requests visitor passes as needed.This includes requests in advance, day of requests, and last-minute changesThe Admin should be agile to changes and make all necessary parties aware of changes as soon as possible.Answers telephone, screens, and places calls in a professional and efficient manner.Coordinate travel arrangements with consistent planning and executionReviews and reconciles all incoming expense and travel reports for accuracy and compliance with corporate policy. Reviews and secures approval for all travel requests. Prepares and submits T&E expense reports in a timely manner.Serves as the point of contact for new hire procurement (IT, real estate, etc). Works with IT and Facilities in ordering new equipment for new hires and arranging office space.Demonstrates an appropriate level of discretion and confidentiality in handling and managing correspondence and documents. Create, format and edit correspondence with minimal directionManages contact/distribution lists, filing system, office equipment/supplies and other duties as assigned.Follow up on various activities and projects as directed to ensure deadlines are metProvide assistance with ad hoc projects and reportingQualifications

Minimum 1 years' experience in supporting an executive as an executive assistant required.Previous executive administrative experience in entertainment and/or Business Strategy and Development strongly preferred.High School Diploma required.BA/BS degree preferred.Excellent verbal and written communication skillsPro-active orientation particularly in relation to anticipating executive requirementsProblem solver. Pitches in to help where and whenever possible. Pro-active.Must be detail-oriented, with the ability to understand written and oral instructions.Must be flexible as priorities shift.Must have the ability to multi-task and work well under time constraints.Exceptional organizational and time management skills with ability to multi-task, balance priorities and take direction from multiple managersProficiency in MS Office, including Word, Outlook, Excel and PowerPoint; Zoom and similar technology driven communication platforms.Should strive to be an extension of their executives

In compliance with local law, we are disclosing the compensation, or a range thereof, for roles in locations where legally required. Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, skill set, experience, and/or performance. Base pay is just one component of Warner Bros. Discovery's total compensation package for employees. Pay Range: $54,964.00 - $102,076.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros. Discovery provides a variety of benefits to employees, including health insurance coverage, an employee wellness program, life and disability insurance, a retirement savings plan, paid holidays and sick time and vacation.
