Job Description:
We are seeking an experienced and self-motivated Fleet Manager to oversee and manage our company's fleet of approximately 150 vehicles, including trucks, vans, SUVs, and construction equipment. In this role, you will be responsible for ensuring the efficient operation, maintenance, and overall lifecycle management of our diverse fleet. Your primary duties will include purchasing, servicing, and selling vehicles; maintaining detailed vehicle records through our fleet management software database; and scheduling vehicles for deliveries. Additionally, you will assist with fleet-related budget preparation, monitor expenses, review variances, and adjust forecasts as necessary. As the Fleet Manager, you will report directly to the Facilities Director. The ideal candidate should possess strong organizational skills, technical knowledge of vehicle systems, and the ability to effectively communicate with both internal stakeholders and external vendors. Responsibilities Develops and implements fleet management strategies to optimize vehicle utilization, minimize downtime, and control cost Manages vehicle acquisition, disposal, and replacement processes, ensuring alignment with company objectives and budget Oversees preventative maintenance schedules, ensuring compliance with manufacturer recommendations and regulatory requirements Monitors and analyzes fleet performance metrics, identifying trends and opportunities for improvement Stays informed of emerging trends, technologies, and best practices in fleet management to enhance operational efficiency Acquires and reviews vehicle maintenance cost estimates, and reviews and approves fleet invoices for payment Assists with the preparation of the annual budget, monitors expenses, analyzes variances, and recommends adjustments as needed Manages Fleetio software and provides user guidance to vehicle drivers and administrative direction to regional office managers Manages Fleet and Vehicle Policy, prepares bi-annual fleet report for board report(s), and provides fleet information as requested by the chief of staff In coordination with the facilities director and with approval from the chief of staff, purchases new vehicles, and coordinates their preparation, branding, and driver assignments Coordinates with all drivers to schedule vehicle repairs and preventive maintenance, and assigns loaner vehicles for HQ-based drivers as needed for repairs and recalls Manages vehicle repair negotiations and approval on a national level, and payment of other fleet invoices such as tickets and tolls by the responsible party. Handles fleet emergencies, including breakdowns and accidents nationwide, in conjunction with risk/insurance teams Monitors new hires, departures, and change forms for vehicle purchases, returns, or sales. Makes recommendations to the chief of staff to replace and sell vehicles Coordinates fuel cards to approved drivers and their appropriate usage, vehicle recalls, property taxes and fees, and updating of registrations, inspections, and emissions Oversees the handling of equipment and specialized vehicles (dump trucks, fuel trucks, forklifts, etc.) used by the facilities team Qualifications Bachelor's degree in Business Administration, Fleet Management, or a related field (or equivalent work experience) Minimum 5 years of experience in fleet management, preferably within the construction industry Possesses a strong understanding of vehicle systems, maintenance practices, and regulatory compliance Excellent communication and interpersonal skills, with the ability to build relationships across all levels of the organization Proficient in Microsoft Office Suite and Fleetio or other fleet management software applications Strong analytical skills and data-driven decision-making capabilities Proven ability to manage multiple projects simultaneously in a fast-paced environment Spanish speaker a plus Preferred certifications within the first year: OSHA 30-hour certification Forklift operator certification HITT Contracting, Inc. is committed to creating a diverse and inclusive environment.
