GENERAL STATEMENT OF RESPONSIBILITIES

Under general supervision, incumbents will provide office support and assistance to the Development Director and the City Engineer to ensure efficient operation of the offices. Responsibilities may include answering the telephone and directing calls; providing routine customer service; maintaining an established filing system; running standard reports; entering data; accepting routine or standard payments; sorting and delivering documents; and operating standard office equipment. The individual will rely on experience and judgement to plan and accomplish goals. Must be able to multi-task while utilizing effective organization and communication. This is a full-time, non-exempt position reporting to the Development Director.

ESSENTIAL JOB FUNCTIONS

(These duties are a representative sample; position assignments may vary.)Responds to requests for information from the general public, staff, and/or other interested parties; answers routine questions; directs callers/visitors to appropriate locations or staff.Files documents alphabetically, numerically, or by other prescribed methods in established filing systems.Prepares, reviews, and/or processes a variety of routine correspondence, logs information, paperwork, invoices, forms, and/or other related information in assigned area of responsibility; keys information into applicable spreadsheets and/or databases.Processes, receives, sorts, and distributes a variety of correspondence, deliveries, and mail; makes photocopies; and faxes documents.Monitors and restocks office supplies and materials.Runs standard reports in assigned area of responsibility.Accepts standard payments and issues receipts.Requirements

EDUCATION AND EXPERIENCE

High School Diploma or equivalent (G.E.D.); or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

REQUIRED KNOWLEDGE

Modern office procedures and equipment.Customer service principles.English language, grammar, and punctuation.Basic filing systems.Computers and related software applications.General knowledge of budgeting and invoicesREQUIRED ABILITIES

Excellent time management skills.Ability to multi-task and prioritize workload.Attention to detail and problem-solving skills.Excellent written and verbal communication.Proficient in Microsoft Office programs.Ability to handle multiple projects.

PHYSICAL REQUIREMENTS

While performing this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to walk, stand, climb, balance, stoop, kneel, crouch or crawl. The employee must also frequently use hands to operate, finger, handle, or feel objects, tools or controls, and reach with hands and arms. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus. Work is performed indoors in a comfortable, climate-controlled office environment. The noise level is low with a moderate paced schedule that requires interaction with the general public. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
