Primary Functions
Guide new foreign executives through the required processes of ensuring appropriate personal and business documentation is processed accurately to the proper authorities, in a timely manner.Assist foreign executives with finding, negotiating rent/lease, and setting up their housing and apartments; including the coordination of utilities, and other personal arrangements (IE. Setting up bank accounts, finding physicians, attending personal appointments to help translate, locating furniture, etc.).Research, negotiate the purchase and sale, and maintain company cars.Monitor travel advisories and make business travel arrangements for all employees.Provide quality review of executive documents.Prepare invoices, reports, memos, letters and other documents, using Microsoft Word, Excel and PowerPoint, database information, or presentation software.Perform general office duties, such as ordering supplies, performing basic bookkeeping, maintaining records, repair and maintenance of meeting rooms and main lobby.Read and sort incoming correspondence mail for proper submissions and appropriate distribution.File and retrieve documents, records, and reports.Prepare agendas and make arrangements, such as coordinating catering for luncheons and other business meetings.Interpret and monitor administrative policies and procedures for executive staff.Answer phone calls and direct calls to appropriate parties or take messages.Assist Human Resources Department with other duties as needed.Position Qualifications

can diagnose and correct minor issues with hardware and software, as needed in order to maintain records or create instructional materials.
