Executive Assistant:
The Assistant will be responsible for professional, effective and flawless support to the Regional Head of Operations by taking full ownership of schedule, being the gatekeeper, and proactive sparring and support for efficiencies towards strategic priorities.
Key Responsibilities:Full ownership of calendar, email support, and communications.Organize meetings, townhall calls via MS Teams, off-site meetings, etc.Plan and execute end-to-end travel.Manage and complete travel expenses including any required approvals.Ensure meeting follow-up and deadlines are metFocal point for visitors e.g., customers, cross-functional leaders, candidates and officials.Maintain various communication channels e.g., Teams, WhatsApp groups, Viva Engage, etc.Act as liaison with direct reports, aka Regional Leadership Team (RLT), other functional stakeholders including global stakeholders and teams.Act as trusted thought partner for leadership team.Manage MGF leadership team engagement and activities for on time deliverables.Act as the conduit for RLT team effectiveness and commitmentOn- and offboarding of direct reports.Ad hoc projects.Event management e.g., social events, conferences.People updates and announcements.Administrative tasks on behalf of leader e.g., substitute approver for Workday or other related systems.Leader Executive Assistant CommunityOrganize for efficiency by e.g., ensuring standards are implemented across the EAs within the function.Sparring partner for Leader Assistants.Contribute to Leader Assistants shared tasks e.g., distribution lists and org charts.
Skills & Experience:Proved experience in a similar role – with a proven track record and a can-do attitude.Proficient computer skills, including Microsoft Office, PowerPoint and Excel.Related industry and/or experience within a global organization is a plus.Strong verbal and written communication skills.Strong organizational and time management skills.Team player with proven ability to work under pressure and ability to maintain confidentiality.Proven ability to manage multiple stakeholders at once achieving results and deliverables.Comfortable with routinely shifting demands.Self-directed, can work independently.High degree of attention to detail.Ability to work with individuals at all levels within the company.
