Description
The Executive Assistant provides high-level, confidential administrative support to the Chief Executive Officer in a fast-paced environment while being open to constant challenges and change. This role involves managing various executive and administrative tasks and ensuring the smooth operation of the CEO's office.
Position ResponsibilitiesManage the Executive's calendar, scheduling appointments, arranging meetings, and coordinating travel arrangements.Assist the CEO with personal tasks and errands, including managing personal appointments and maintaining schedules.Coordinate family related matters as required, ensuring a balance between personal and professional commitments.Handle incoming and outgoing communications on behalf of the Executive's, including emails, phone calls, and written correspondence.Plan, organize, and prepare materials for meetings, including agenda's, presentations, and meeting minutes.Conduct research, analyze reports, and prepare presentations.Attend required meetings and provide administrative support as needed.Manage and maintain confidential information, documents, and records.Maintain the highest level of confidentiality and discretion when handling sensitive information and matters.Build and maintain relationships with internal and external clients, partners, and colleagues.Provide general administrative support, including filing, data entry, expense management, and office supplies.Assist with special projects and initiatives assigned by executives.Must be able to anticipate challenges, identify solutions, and proactively address issues to support Executive objectives.Familiarize yourself with the full suite of Kraft products and services (Leasing, Parts, Service, Sales, etc.) to better support customers and further relationships.Lead by example by demonstrating commitment, expertise in processes, and a strong work ethic.All other duties and responsibilities as directed and required.Requirements
Preferred Qualifications/Experience Requirements
A minimum of 7 years executive administrative experience required.Strong project management and time management skills.Strong analytical, communication, presentation, and interpersonal skills.Ability to work independently and collaboratively.Ability to work in fast-paced environment.Highly proficient in CRM and Salesforce.Highly proficient in Office 365 Applications. Master in Excel.Excellent grammar and proofreading.Qualified candidates must demonstrate exceptional written and verbal communications, the ability to multi-task and a passion for quality, creative work.Ability to meet deadlinesA positive can-do attitudeA minimum of an Associate degree in business, marketing, communications or other related field.Physical Requirements
Ability to lift up to 25 lbs.May be required to stand, walk, sit, reach with hands and arms, climb, crouch, or crawl for long period of time.Computer work as needed in an office setting to keep department running efficiently.Must be able to communicate effectively in written or verbal skills with management and team members.Travel as needed to other locations by vehicle, plane, or train.Reasonable accommodation will be made to those requiring assistance.
