Summary Description
Provides administrative support to the Relationship Managers. In addition to typing, filing, scheduling, performs duties such as record keeping, coordination of meetings, obtaining supplies and work on special projects. Answers routine correspondence and assembles highly confidential and sensitive information. Communicates with Relationship Managers and customers. Plans, prioritizes, and organizes diversified workload and recommends changes in office practices or procedures.
Essential Functions
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.Receives and prepares loan request packages (i.e. Pull Credit Report, request files, identify current banking relationship, etc.)Establishes, develops, maintains and updates filing system. Retrieves credit and collateral files as needed.Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.Answers phones for department. Takes messages or fields/answers questions.Acts as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessary.Assists in the preparation of Loan Summaries as well as submission to the Commercial Loan Documentation Department. Assists in resolution of issues identified during the pre-closing process.Types and designs general correspondences and memos, etc. Proofreads for accuracy and clarity of final copy.Maintains & updates database of all loans extended, denied, withdrawn, or within the current "pipeline"Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions
Position Requirements
High School Diploma or equivalentMinimum of 2 years administrative experience (preferably in commercial banking)Work is generally performed indoors in environmentally controlled conditionsTypically the employee may sit to perform the work. However, there may be some standing, walking, bending and carrying of light items in the course of the work

Ability to relate well to othersExcellent written and oral communication skillKnowledge of standard office equipmentKnowledge of office administrative proceduresKnowledge of a variety of computer software applications (Microsoft Office & Access)Must have high level of interpersonal skills to handle sensitive and confidential situations.Position continually requires demonstrated poise, tact and diplomacy.Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
