Health Link, a Home Health Agency in the San Francisco Bay Area, has an IMMEDIATE job opening for a dynamic, high-energy team player to join our team. This is a full-time, in-office position.

Position: Executive Assistant to the Director of Patient Care Services (Full-Time, In-Office)
This role provides exceptional administrative support to the Director of Patient Care Services (DPCS) and serves as a key member of Health Link's executive team. The EA will support daily agency operations and assist in program management, serving as the primary point of contact for the DPCS. This role requires a positive, engaging demeanor, exemplary service orientation, strong organization, and the ability to handle multiple tasks and projects simultaneously with minimal supervision.
You will work closely with various departments, making this a highly collaborative role.
Responsibilities:
Program Management:•Oversee the progress and fulfillment of organizational goals and initiatives related to the Director of Patient Care Services' work.•Lead and support program management initiatives, including ongoing projects and one-off assignments.•Provide leadership, training, and mentorship within the assistant community; serve as a backup for assistant positions across departments when needed.
Schedule Management & Administration:•Prioritize complex schedules and tasks with sound judgment.•Anticipate needs related to scheduling, communication, and support.•Meet deadlines through multitasking, prioritizing, and delegating effectively.•Manage payroll reports and day-to-day tasks, including:•Phone, email, and mail correspondence.•Organizing contacts and maintaining electronic files.•Managing organizational charts.
Communication:•Represent the DPCS in conversations and meetings, using diplomacy and sound judgment.•Handle sensitive information discreetly and confidentially.•Collaborate with operational departments and staff at all levels.•Draft communications on behalf of the DPCS, ensuring consistent style and tone.•Assist in creating presentations and assembling strategies for initiatives.•Establish positive rapport with coworkers and provide advisory support to managers.
Qualifications:•2+ years of administrative leadership experience in a dynamic and demanding environment.•Home Health and/or healthcare industry experience preferred.•Proficiency in Microsoft Office, Excel, PowerPoint, Google Workspace, and Keynote. Must be a quick learner of new software applications.•Strong presentation-building experience preferred.•Knowledge of operational processes and workflows is essential.
