Location:

This role is hybrid in the San Francisco Bay Area. We all are in office at least 75% of the time.

About the Role:

We’re seeking a dynamic and highly organized Executive Assistant / Operations Manager to support our executive team and assist with operations and HR functions. This role is essential to the smooth running of our operations and involves a combination of administrative support, HR tasks, and operational management. Responsibilities:

Administrative Support:

Provide comprehensive administrative support to the executive team, including managing schedules, organizing meetings, and preparing necessary documents.

Operations Management:

Assist with the coordination and management of daily operational activities, ensuring efficient and effective workflows.

Human Resources:

Support HR functions such as recruitment, onboarding, employee records management, and benefits administration.

Event Planning:

Organize and coordinate company events, meetings, and conferences.

Project Management:

Assist in managing and tracking various projects, ensuring they are completed on time and within scope.

Communication:

Act as a liaison between executives and other departments, facilitating effective communication and information flow.

Travel Coordination:

Arrange travel itineraries, accommodations, and other logistics for executives.

Who You Are:

Have proven experience as an executive assistant, operations manager, or in a similar role, preferably in a tech or startup environment.

Have excellent organizational, time management, and multitasking skills. Strong written and verbal communication abilities.

Have proficiency with office software (e.g., Microsoft Office, Google Workspace) and familiarity with HRIS and project management tools.

Have Proactive Attitude:

Ability to anticipate needs, take initiative, and work independently with minimal supervision.

Have Discretion:

High level of integrity and discretion in handling confidential information.

Preferred Experience with The Following Tools:

HR Tools:

Justworks for HR (including medical plan), Ashby for hiring and managing the candidate pipeline, Checkr and E-Verify for background checks and onboarding (as per California law).

Project Management Tools:

Asana for task and project management.

Onboarding Tools:

Notion for onboarding new employees.

Communication Tools:

Slack, Telegram, GMeet.

Contracting Tools:

DocuSign for managing contract roles and contracting.

Compensation:

$80,000-120,000
