Apogee is looking for an Executive Assistant to provide support in our Beavercreek, OH office. This position will support the President and Chief Executive Officer providing executive management and business operations administrative support to the local office. Support may will also be extended to other teams as needed.

This is a full-time opportunity with hybrid flexibility.

What you will be doing:

Functions as a confidential Executive Administrator to the CEO.Manages appointment calendars. Schedules and prioritizes appointments and meetings to maximize CEO engagement and ensure the achievement of organizational goals.Collects and maintains action items and due dates for CEO review, action, and/or responses.Maintains highly professional and executive-level engagement with Apogee Board Members, external executives, and internal Senior Leadership Team.Manages and supports business operations leadership with external meetings, including research, correspondence, notetaking, and preparing materials and documentation.Builds, maintains, and shares knowledge and process management capabilities in SharePoint, Confluence, and other workflow and process/project management platforms.Builds positive relationships and liaises with all staff as needed to ensure a smooth working relationship with leadership and ensures necessary arrangements and information are shared.Participates in companywide strategic initiatives such as Employee Engagement, Employee Annual Assessments, and Employee Professional DevelopmentProofreads and wordsmiths CEO-level correspondence, messaging, scripts, deliverables, and memorandums.Routinely coordinates engagement and schedules with internal personnel and external parties.Supports Quality Management and ISO administration.Supports CEO staff outreach efforts including but not limited to event coordination and occasional travel preparation.Monitor office supplies and assist with supply lists.Provides front/desk administration support to the office when needed (e.g. major events, meetings, openings)Support with various ad hoc administrative tasks, as required.Execute security management and office access control requirements as needed.Coordinate catering and/or food and beverages when needed by the Executive team.What you'll need:

High School Diploma

Years of Experience:

10 years of experience supporting executive leadership and managing a corporate office

Additional Skills:

Exceptional communication and interpersonal skills, both written & verbalSolid knowledge of proper meeting management techniqueStrong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to quickly learn other workflow, knowledge management, and project management software applications.Must be flexible, extremely well-organized, and detail-minded. Adept at follow-through, especially in managing detail and juggling multiple priorities.Adept at time and resource managementAssist with the administration of calendars, creating meetings, conference room reservations, and conference room configuration.Preferred:

Compensation & Benefits:

Apogee offers two medical plans, a high deductible health plan with an HRA and a traditional POS plan with co-pays, dental, vision, 401(k), life insurance, PTO, paid holidays, parental, military, and jury duty paid leaves. Regular part-time employees scheduled for twenty-four or more hours per work week are eligible for benefits on a pro-rated basis.
