Executive Assistant

As an Executive Assistant, you will perform high-level administrative duties for the President & Chief Medical Officer and Board of Directors, including drafting correspondence, scheduling meetings, and managing detailed calendars. You will proofread and edit communications, create visually appealing presentation slides, and handle various office tasks such as filing, financial reporting, and arranging conference calls. Effective communication and confidentiality are essential, along with a relevant degree or experience, and proficiency in Microsoft Office.

Responsibilities

Perform high level administrative duties for the President & Chief Medical Officer and Board of Directors, including but not limited to, drafting correspondence, scheduling meetings, taking minutes, and responding on behalf of the President & Chief Medical Officer and Board of Directors.Manage detailed calendars and coordinate meeting materials, including but not limited to, agendas and supporting presentation materials, to ensure efficient scheduling and preparation.Proofread and edit communications such as emails, reports, and presentations for accuracy and professionalism; Create and design high-quality presentation slides that are visually appealing and clear.Perform standard office duties, including but not limited to, filing, handling incoming and electronic communications, answering telephones, creating and preparing financial reports, scanning documents, handling information requests, receiving visitors, and arranging conference calls.Communicate in an effective, appropriate, and courteous manner, while maintaining confidentiality during all interactions with physicians, patients, staff, and external business associates.

Qualifications

Associate's degree in related medical or business sciences; Bachelor's degree preferred. Comparable relevant experience can be substituted for a degree.A minimum of 5 years of experience in an administrative assistant capacity with at least one year within a healthcare organization.Excellent verbal, written, and interpersonal skills.Proficient calendar management skills, including the coordination of complex executive appointments.Advanced proficiency with Microsoft Office products, including Outlook, Word, PowerPoint, and Excel.
