Executive Assistant

to provide essential support while an internal employee is on leave until early February.Salary/Hourly Rate:$36/hrPosition Overview:This Executive Assistant role is crucial for maintaining the smooth operation of front office functions and delivering high-level administrative assistance to our senior leadership team. The Executive Assistant will coordinate and support various projects and initiatives, maintain accurate records, and assist with financial tasks, ensuring all processes run seamlessly. Additionally, this position involves managing vendor relationships, resolving administrative issues, and upholding industry standards and regulations. The ideal candidate will have proven experience as an Executive Assistant or in a similar role, with exceptional communication and organizational skills. A detail-oriented approach and the ability to multitask in a fast-paced environment are essential. Proficiency in Microsoft Office Suite and strong problem-solving abilities are also required. Manage daily schedules, including meetings, briefings, and appointments, ensuring efficient time management and prioritization

Prepare and process correspondence, reports, and presentations, ensuring professionalism and accuracy in all executive communication

Serve as the primary point of contact for senior leadership, coordinating communication between leadership, staff, and external stakeholders

Ensure front office operations run smoothly by maintaining a professional and organized environment

Maintains and updates databases, spreadsheets, and other records to ensure the accuracy and accessibility of information for decision-making and reporting purposes

Coordinates with external vendors and suppliers, negotiates contracts, processes payments, and resolves issues to ensure smooth operations and cost-effective solutions

Identifies and resolves administrative issues and challenges, proactively addresses concerns, and implements solutions to improve efficiency and effectiveness

Organizes and coordinates company events, meetings, and conferences and contributes to venue selection, catering arrangements, guest invitations, and logistical support

Monitors and ensures compliance with relevant laws, regulations, and industry standards, such as data protection, privacy, and security measures

Provide leadership and guidance to administrative staff, assign tasks, oversee workloads, and provide training and development opportunities

Audits and monitors associate data changes

Performs other duties and responsibilities as assigned

Qualifications for the Executive Assistant:

Minimum of 7+ years of Executive Assistant or Senior Administrative Assistant experience in a corporate financial setting (NOT seeking candidates who have worked in healthcare, at a bank or small businesses/offices)

Proficiency in computer skills, including MS Office (Word, Excel, Outlook)

Strong understanding of commercial lending concepts and experience in a loan operations environment

Excellent knowledge and understanding of collateral perfection requirements, commercial loan documents, and corporate credit policy

Proficiency in Google Suite and familiarity with virtual meeting platforms (Zoom, Teams)

Detail-oriented with strong problem-solving abilities

Ability to work independently and collaboratively in a team environment

High level of discretion and professionalism when handling sensitive information

Education Requirements:

High School diploma or GED is required
