Office Management: Oversee day-to-day office functions, including ordering supplies, scanning documents, shipping packages, and submitting maintenance requests.
Meeting Facilitation: Assist in scheduling meetings, sending calendar invites, and coordinating logistics.
Travel Arrangements: Book flights, lodging, and transportation for internal and external parties.
Calendar Management: Manage executive calendars, including scheduling meetings, conference calls, and appointments across time zones.
Communication and Correspondence: Serve as a point of contact between executives, employees, and external parties. Oversee inboxes and voicemail, forwarding communications as needed. Coordinate requests and deliverables.
Event Planning: Organize team events and office celebrations, handling logistics such as reservations, catering, and calendar invites.
Human Resources Support: Assist with posting job openings, filtering applications, arranging interviews, and onboarding new hires. Administer training programs.
Financial Support: Assist with financial activities, including receipt tracking, expense reimbursements, and invoice processing.
Data Management: Update and document communication and meeting activity within the Client Relationship Management (CRM) tool.
Personal Assistance: Provide personal support to executives as needed, including scheduling appointments, making reservations, and running errands.
Other duties as assigned.
