ATN HR Consulting Firm is seeking an organized and highly experienced
Executive Assistant (EA)
to support our client's rapidly growing organization. This role is critical to the seamless operation of the executive team, providing top-tier administrative support to the company's c-level executives. The ideal candidate will be instrumental in enabling the leadership to effectively manage key tasks, strategic initiatives, and overall company operations.
This role encompasses a wide range of responsibilities, from managing schedules and coordinating meetings to acting as the primary gatekeeper for the executives' time and priorities. Additionally, the EA will serve as the main liaison between the company and external event planners and vendors, ensuring the flawless execution of company events.
This position requires exceptional critical thinking, organizational skills, flexibility, discretion, and the ability to thrive in a fast-paced, collaborative environment.
Key Responsibilities:
Calendar Management:
Coordinate and manage executives' schedules, meetings, and travel.
Communication:
Act as the main point of contact, managing and responding to communications on behalf of executives.
Administrative Support:
Handle email management, correspondence, reports, expenses, and record-keeping.
Meeting Coordination:
Prepare materials and ensure executives are well-prepared for meetings.
Project Assistance:
Assist in strategic projects by managing tasks, research, and deadlines.
Travel Arrangements:
Plan and organize all travel logistics, including itineraries.
Gatekeeping:
Manage the flow of information and prioritize requests to support executive focus.
Personal Assistance:
Provide support with personal tasks and appointments.
Event management and planning ( creating initial event plans and coordinating with outside vendors including outside event coordinators )
Problem-Solving:
Identify and resolve issues that may impact executive productivity.
Role Requirements & Qualifications:
Associates or Bachelor's degree in business, communications or a similar field preferred but not required2-4 years
of proven experience as an Executive Assistant is requiredStrong proficiency in office software and productivity tools (e.g., Microsoft Office, Google Workspace, Monday.com)Exceptional organizational and time management skillsExcellent written and verbal communication skillsAbility to communicate both written and orally in the English languageAbility to maintain a high level of confidentiality and discretionStrong problem-solving and critical thinking abilitiesAdaptability and flexibility in a fast-paced environmentProficiency in virtual meetings and communication platformsProfessional and courteous demeanorStrong interpersonal and relationship-building skillsAttention to detail and accuracy in tasksAbility to work independently and proactively with minimal oversightAdditional Requirements:
Must be able to travel up to 5%Must have a valid driver's license and ability to operate a vehicleMust have reliable transportationMust be able to stand for long periods of time and life items up to 20 pounds with or without a reasonable accommodations during company eventsBenefits and Perks
