As an Executive Assistant at Weave, you will display executive presence while demonstrating resourcefulness, timeliness and integrity. The ideal candidate must be able to work in a fast-paced environment while having the ability to display good judgment.
You will be the go-to link between executives and individuals, both internally and externally, ensuring effective communication and collaboration. Your role involves attending pivotal meetings, managing agenda preparation and follow-up, coordinating complex travel schedules, and overseeing calendar management. Additionally, you'll handle expense reporting, craft presentations, and partner closely with the executive assistant team to boost productivity and streamline processes.

This position will report to our Chief Product and Technology OfficerThis role is fully in-office at Weave HQ in Lehi, UT (requiring 5 days in-office/week).What You Will Own
Support multiple leaders and manage a large amount of tasks set forth by the assigned executive on a daily basisCoordinate difficult schedules, adapt to various competing demands, prioritize multiple projects and handle conflicting needsApply sound judgment while driving recommendations and solutions in sometimes high-pressure situationsSchedule internal and external meetingsCoordinate and prioritize meeting invites, team and company initiatives to ensure optimal time managementProactively anticipate schedule conflictsManage meeting logistics (Agendas ,meeting space, catering, etc)Plan and execute all department events and company/holiday partiesCoordinate and help design company swagHelp manage onsite company meetings, quarterly business reviews, etcManage email correspondenceManage executive's calendar and email correspondences throughout the dayPrepare and manage several monthly expense reports and coordinate travelWork in tandem with other executive assistantsWhat You Will Need to Accomplish the Job
3+ years of executive assistant experienceMust have a strong service-oriented attitude and excellent interpersonal skillsProficient in Google Drive (Word, Slides, Sheets, Forms, etc.)Experience establishing relationships and negotiating with vendorsExperience managing budgetsAbility to exercise a high degree of tact, diplomacy, and discretion with sensitive mattersDemonstrate a high level of autonomy while staying efficient in a highly pressured fast-paced environmentFlexible team player willing to do what it takes to get the job donePromote and embrace company initiatives by being a change leaderAbility to build and maintain cross departmental relationshipsMust be able to sit or stand for long periods of timeAbility to lift 25-30 pounds on occasionExcellent written and verbal communication skillsWhat Will Make Us Love You
