Job Description
The Executive Assistant provides high-level administrative support to the Executive Vice President (EVP) of Human Resources. This role ensures the smooth operation of the EVP's office by managing daily schedules, coordinating meetings, handling communications, and assisting with special projects that align with FCA's mission and values.
MINISTERIAL DUTIES
These responsibilities are critical to the FCA mission, and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.
Agree with, and abide by, FCA's Christian Community Statement.Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.Connect to and participate in a local church through worship and weekly involvement.Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement) at all times.ROLE RESPONSIBILITIES
Executive Support:
Manage and maintain the EVP's calendar, including scheduling internal and external meetings, prioritizing commitments, and making adjustments as necessary.Screen and direct incoming communications, including phone calls, emails, and mail, ensuring timely and appropriate responses.Prepare and review documents, presentations, and reports for meetings and presentations.Act as the primary point of contact between the EVP and internal/external stakeholders.Meeting Coordination Event Planning:
Organize, schedule, and coordinate meetings, including executive team meetings, board meetings, and HR-related events.Prepare meeting agendas, materials, and minutes, ensuring follow-up on action items.Assist in the planning and execution of HR-related events, workshops, and conferences.Project Management:
Assist with special projects and initiatives led by the EVP of HR, ensuring that deadlines are met and deliverables are aligned with the strategic goals of the organization.Track progress on HR initiatives and provide regular updates to the EVP and other stakeholders.Confidentiality Discretion:
Handle sensitive and confidential information with the highest level of integrity and discretion.Maintain confidentiality on matters related to HR personnel, organizational strategy, and ministry operations.Office Administrative Support:
Maintain organized records and filing systems, including HR documentation, contracts, and correspondence.Assist with travel arrangements, including booking flights, accommodations, and itineraries for the EVP and HR team members as needed.Support the preparation and processing of expense reports, reimbursements, and purchase orders.HR Team Support:
Assist with the onboarding process of new HR staff members, ensuring that all necessary resources are provided for smooth transitions.Provide administrative support to the broader HR team, as directed by the EVP.Support the HR team in coordinating recruitment, employee training, and internal HR communications.Additional Details
3-5 years' experience in an administrative or executive assistant role preferred.Associate or bachelor's degree in the related field preferred.
