Role Type : Salaried, Year-RoundThis role works out of the KIPP Jacksonville Public Schools regional offices in Jacksonville, Florida.
POSITION OVERVIEWThe Executive Assistant (EA) will be a key part of the chief-level team which includes the Executive Director (ED), Chief Schools Officer (CSO), Chief Operating Officer (COO), Chief Financial Officer (CFO) and Chief Advancement Officer (CAO) as well as other executive assistants. The Executive Assistant that supports the Chief Schools Officer ensures the Academics team stays organized by streamlining calendars and times to support efficiency. The EA is a self-starter who can take initiative, anticipate needs, and is a polished communicator as they represent leaders for the organization to a variety of internal and external stakeholders. Due to the sensitive nature of email communication, they will uphold the highest levels of confidentiality and professionalism.
The ideal candidate for this position will have a deep passion for social justice and educational equity for all children, excellent relationship-building and communication skills, and loves organization.
The EA is a full-time role on the shared services team which oversees four schools currently and is actively planning for growth in future school years. As a member of the shared services team, this individual would be responsible for doing whatever it takes to ensure that students develop the knowledge, skills, and character strengths they need to succeed throughout their education and in the competitive world beyond.
This position is year-round and performs duties as assigned by their manager. This position reports directly to the Chief Schools Officer. Typical hours are 8:00 a.m. to 5:00 p.m. but vary for this role based on the season. Regular travel between school campuses will be required. Some travel to community events during/after normal business hours would be required.
SPECIFIC DUTIES
Schedule all appointments, meetings, events, and travel for the Chief Schools Officer.Manage team meeting schedules and coordinate logistics for large group meetingsSupports logistics of regional meetings and retreats, including technology set-up, food ordering, note-taking, etcConduct short and long-term calendar reviews to ensure calendar accuracy and resolve potential scheduling conflictsDevelop and maintain effective communication with all contacts (internal and external)Prepare and edit documents in MS Word, Excel, PowerPoint, Google Suite, Canva and other programs as neededProcess expense reporting for the Chief Schools OfficerData collection and reporting for school auditsOrdering supplies for the academics teamOrder, track and maintain systems for curriculum purchases and deliveriesParticipation on various Shared Services Team committeesAssist with additional projects or duties as assignedCOMPENSATION
The starting annual salary range for this role is typically between $40,000-$45,000Free individual level health benefits, including medical, dental, and visionFree individual short-term and long-term disability insurance403(b) retirement program with a company matchQualifications
