Job SummaryThe Executive Assistant provides high-level, specialized administrative support to an executive leader, handling a range of complex and confidential assignments. This role requires independent judgment, advanced administrative skills, and a comprehensive understanding of the organization's infrastructure, policies, and procedures. The Executive Assistant will manage inquiries, resolve issues, and handle confidential materials with professionalism and discretion.
Key Responsibilities•Provide broad administrative support to an executive leader, including handling complex and confidential tasks.•Prepare, compose, and manage communications for internal and external audiences.•Manage and prioritize assignments, ensuring tasks are completed within deadlines.•Maintain and organize schedules, appointments, and meetings for the executive leader.•Interpret and analyze data and instructions, presented in various formats, to execute tasks effectively.•Maintain confidentiality of sensitive information, ensuring the privacy of protected health information (PHI).•Collaborate with team members to accomplish departmental and corporate goals.•Address standard problems independently and apply established solutions.•Coordinate travel arrangements, prepare expense reports, and manage other administrative tasks as needed.
Required Qualifications•High School Diploma or General Education Diploma (GED) or equivalent education/experience.•Minimum of 4 years of recent, relevant experience in an administrative support role.•Proficient in Microsoft Office Suite (Word, Excel, Outlook) and internet search software.•Strong written and verbal communication skills, with the ability to interact effectively with various audiences.•Excellent time management and organizational skills, with the ability to prioritize tasks and manage interruptions.•Ability to work independently and as part of a team to meet objectives.
Preferred Qualifications•Experience in healthcare or similar industries.•Familiarity with handling confidential information, particularly PHI.
