Description
TheExecutive Assistantplays a pivotal role in ensuring the efficient and effective operation of the executive team. This role will be responsible for managing executive schedules, coordinating meetings, handling confidential information, and assisting with various administrative tasks. The ideal candidate will possess exceptional organizational skills, a high level of discretion, and a proactive approach.
Key Responsibilities:Anticipate and resolve scheduling conflicts and prioritize appointments proactively, ensuring the executives' time is optimized.Strategically plan and organize meetings, anticipating potential issues and providing innovative solutions.Assist the Executive team in initiation or completion of tasks resulting from meetings or strategic initiatives.Proactively engage with internal and external stakeholders to facilitate clear and timely communication, making decisions on behalf of the executives when necessary.Apply critical thinking to screen and filter phone calls, emails, and requests, addressing routine matters independently and escalating urgent issues promptly.Proactively identify challenges and roadblocks that may hinder the executives' progress, offering creative solutions to overcome them.Arrange complex and detailed travel plans, itineraries, and agendas.Manage interview scheduling and communication with candidates being recruited for open positions within the Executive Team.Manage and reconcile purchases on the Corporate Credit Card.Prepare and file expense reports.Qualifications
5+ years proven experience as an executive assistant or similar role, highlighting proactivity and critical thinking abilities.Bachelor's degree preferred, but not required or related work experience.Exceptional organizational and time-management skills.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite and calendar management software.High level of discretion and ability to handle confidential information.Ability to work independently, prioritize tasks, and meet deadlines.Professional and polished demeanor with excellent interpersonal skills.
