Job Summary:
Reporting directly to the Principal, the Executive Administrative Assistant plays a vital role in facilitating smooth operations within the school's administrative framework. This individual is tasked with coordinating office activities, managing communication flows, and overseeing key administrative functions. Additionally, the Administrative Assistant is responsible for the meticulous preparation and maintenance of various records and reports, ensuring strict confidentiality of sensitive information.
Duties/Responsibilities:•Execute a comprehensive range of secretarial tasks, including typing, word processing, proofreading, filing, information recording, and correspondence management.•Manage phone communications by answering, transferring, and screening calls for the Principal.•Welcome and assist visitors, providing essential information to parents and the public.•Maintain precise filing systems.•Retrieve and synthesize information from records, emails, meeting minutes, and other documents as needed.•Address and resolve administrative inquiries and issues.•Organize and schedule the Principal's travel, meetings, and appointments.•Develop agendas and coordinate schedules for the Principal's meetings.•Document and distribute meeting minutes and other records.•Oversee the inventory of office supplies and coordinate the maintenance of office equipment.•Administer a system for tracking expenses and managing petty cash.•Undertake additional related duties as required.
Required Skills/Abilities:•Superior verbal and written communication skills.•Exceptional interpersonal and customer service skills.•Proficiency in Microsoft Office Suite or equivalent software.•Advanced organizational skills with meticulous attention to detail.•Fundamental knowledge of clerical procedures, including recordkeeping and filing.•Capability to work autonomously.
Education and Experience:An Associate's degree is required; a Bachelor's degree in a relevant field is preferred.A minimum of five years of experience in an administrative capacity.Physical Requirements:
Frequent periods of sitting at a desk and working on a computer.Ability to lift objects weighing up to 15 pounds as needed.
