Senior Executive Assistant (Public Sector Experience)

We are conducting a search for a Senior Executive Assistant to provide high-level administrative support to the CEO and COO of a leading development, fund, and asset management firm specializing in public infrastructure.
The ideal candidate is a highly organized, proactive individual capable of managing a diverse range of administrative and executive support responsibilities. This role demands a versatile professional who can anticipate needs, juggle competing priorities, and maintain the utmost discretion and professionalism.
What You'll Do:•Serve as the primary point of contact for the CEO and COO, arranging, confirming and managing detailed business and personal calendars.•Schedule and coordinate meetings, both internal and external, including setting agendas, preparing materials, and ensuring follow-up on action items. Determine importance of meeting requests in the context of the executive's priorities and schedule accordingly.•Coordinate and prioritize incoming requests, ensuring timely and appropriate responses.•Organize and manage complex international and domestic travel arrangements, including flights, accommodations, transportation, and itineraries, while ensuring a thorough understanding of international time zones for seamless scheduling.•Ensure all travel plans are efficient and cost-effective while meeting the executives' preferences and requirements.•Arrange and manage logistics for board meetings, executive team meetings, and other key events.•Serve as a liaison between the CEO, COO, and other executives, staff, and clients.•Prepare, review, and edit correspondence, reports, presentations, and other documents as needed.•Prepare, review and process expense reports, in-line with company Time &Expense policy.•Perform other related ad hoc projects and duties as requested.
What You'll Bring:•Bachelor's degree required•7-10 years of experience as an Executive Assistant, with at least 3 years supporting C-level executives in a fast-paced, high-pressure and multi-cultural environment.•Understanding of cultural norms to foster strong relationships and ensure seamless collaboration with global teams.•Highest degree of integrity, professionalism, diplomacy, confidentiality and discretion in handling highly sensitive information.•Ability to think and act strategically.•Adaptability and flexibility to accommodate the dynamic needs of the executives.•Capacity to work with a variety of workstyles and personalities.•Must be a resourceful and an independent thinker.•Experience working with all levels in a corporate environment and versed in interacting with politicians and Board Members.•Proactive, self-motivated, and able to work independently and in groups.•Excellent interpersonal, verbal and written communication skills.•Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.•A creative mind with an ability to suggest improvements.
