The Executive Office is seeking to add a highly motivated Administrative Assistant within the Office of the Board Secretary. This role is to support the Optimere Group Board of Directors , which works to promote the interests of shareholders, and to ensure a common set of expectations as to how the Board, its various committees, individual directors and management should perform their functions. Previous experience in supporting senior executives is preferred as well as the ability to work well under pressure in a busy and dynamic environment.
Job Duties:
Support the scheduling and execution of complex, in-person and virtual Board meetings, including coordination of high-volume domestic and international travel, transportation and accommodationsLiaise closely with administrative assistants of internal executive leadership on scheduling and meeting execution needsTrack requests needed from internal stakeholders and work with senior executives to ensure that responses are provided in a timely mannerMaintain briefing materials and talking points for meetings and speaking opportunities. Liaise with other divisions to coordinate materials as neededMaintain an extremely detailed calendar and related logisticsTimely processing of expense reports and director reimbursementsAssist in other Board/Director matters as needed, including but not limited to, preparing correspondence and other communications, file organization, research, archivingInteract with senior level business leaders in a professional and effective manner both in person and writtenCan be relied upon to do the job as well as being willing to help other team members when neededMaintain understanding of firm policiesQualifications:
Excellent interpersonal and communication skills, both written and verbalHigh attention to detail, strong organizational skills and excellent follow-throughTrustworthy to handle highly sensitive and confidential informationHighest degree of integrity, professionalism, diplomacy and discretion requiredComfortable working with people at all organizational levels, particularly the senior-most leadership levelsAbility to work well under pressure, adapt to unexpected events, and prioritize and multi- task in a deadline driven environmentMust have excellent judgment and be resourcefulTeam player with a positive attitudeKnowledge of general business, corporate and government culturesStrong proficiency in MS Word, Excel, PowerPoint and Outlook
