Hackensack Meridian Pascack Valley Medical Center

POSITION SUMMARY
The
Executive Assistant
will provide administrative and secretarial support to C-level Executives of the hospital.
Responsibilities
Coordinate executive communications including taking calls, responding to e-mails, and interfacing with personnelPrepare internal/external corporate documents for team members and vendorsRetrieve and greet visitors or guests that have scheduled meetings with senior leadership, and ensure they feel welcomeSchedule meetings, appointments and manage travel itinerariesMaintain an organized filling system of paper and electronic documentsUphold a strict level of confidentialityDevelop and sustain a level of professionalism among co-workersHandle administration of expense reportsAppropriately file and retrieve corporate records, documents, and reportsResearch and compile data to prepare documents for review, and presentation by boards of directors, committees, and other executivesMaintain time sheets for team members that report into assigned C-level executiveTranscribe and distribute meeting minutes noted from operational and governance meetingsRead and analyze incoming memos, submissions, and distribute as neededQualifications
Education & Experience:
High School Diploma required, Bachelor's Degree preferred5+ years of experience as an Executive Assistant reporting directly to senior leadershipKnowledge, Skills & Abilities:
Proficient in Microsoft Office suite including, Excel, PowerPoint, and WordExtremely detail-orientedExcellent problem solving, analytical and organizational skillsInherent ability to multi-task and prioritize work assignmentsExceptional interpersonal skillsFriendly and professional demeanorMust be able to meet deadlines in a fast-paced, quickly changing environment
